The Procurement Coordinator is responsible for managing and executing a wide range of purchasing tasks, from standard to advanced levels. This role involves the development, management, and coordination of both formal and informal procurement activities, ensuring compliance with federal, state, and local laws and regulations.
The Procurement Coordinator I engages in standard purchasing tasks, including the development, management, and various functions related to procurement activities. This role is accountable for all aspects of coordinating the acquisition of designated commodities and services.
The Procurement Coordinator II performs professional work in both the technical and administrative aspects of the University's purchasing activities. This role is responsible for procuring technology, supplies, services, and professional services, overseeing all elements related to the acquisition of designated commodities and services, and ensuring compliance with relevant laws and regulations.

Job Description Typical duties may include but are not limited to:
- Ensures compliance with procurement procedures, laws, and regulations while coordinating the purchase of assigned commodities and services.
- Reviews requisitions and purchase orders for accuracy and compliance with relevant regulations and policies. Prioritizes these requests and approves purchase orders within delegated authority and established threshold limits.
- Reviews and assists in the preparation of specifications and scopes of work/services; develops formal and informal competitive solicitations. Receives and analyzes bids, proposals, and responses, and is responsible for awarding and administering contracts.
- Researches and resolves purchase and invoice discrepancies.
- Collaborates with university partners to share information, offer guidance, and ensure alignment with procurement processes and requirements.
- Research suppliers to ensure sufficient competition in the procurement process.
- Recommends policies, procedures and control systems to enhance continuous operational efficiency.
- Review agreements, quotes and proposals for accuracy as assigned.
- Conducts procurement training and educational programs.
- Maintains Financial Disclosure in accordance with Chapter 112 F.S.

Additional Job Description Procurement Coordinator I Required Qualifications:
- This position requires either six years of directly related full-time experience or, as an alternative, a Bachelor's degree from an accredited institution in Accounting, Business Management, Public Administration, or other closely related field and two years of full-time experience directly related to the job functions.
- Experience operating a personal computer and proficient with Microsoft Office (Word, Excel, Outlook).
- Any appropriate combination of relevant education, experience, and/or certifications may be considered.
Procurement Coordinator II Required Qualifications:
- This position requires either eight years of directly related full-time experience or, as an alternative, a Bachelor's degree from an accredited institution in Accounting, Business Management, Public Administration, or other closely related field and four years of full-time experience directly related to the job functions.
- Experience operating a personal computer and proficient with Microsoft Office (Word, Excel, Outlook).
- Any appropriate combination of relevant education, experience, and/or certifications may be considered.
Knowledge, Skills & Abilities:
- Knowledge of university policies and procedures, applicable local, state, and federal regulations related to purchasing.
- Knowledge of or ability to learn Workday or similar enterprise financial management software application.
- Excellent interpersonal, verbal, and written communication skills.
- Excellent organizational skills and the ability to prioritize and complete simultaneous projects.
- Skill in completing assignments accurately and with attention to detail.
