Position Highlights The primary purpose of this position is to assist department leadership with thoughtful planning and execution of application and admissions processes within our application system, as well as our student information system, and customer relationship management system. In accordance with the primary goals, this position will perform activities related to the recruitment, evaluation, and selection of students seeking entrance to the institution, using the application system to initiate, enter, and monitor applicant progression throughout each application season. This will also include creating and implementing strategies and procedures that ensure the effectiveness and efficiency of recruitment, evaluation, and selection processes.

Duties & Responsibilities
  • Oversee the application review system: process applications, assign to individuals for review at various stages, send decision notifications, and serve as the primary contact for application reviewers and the Admissions Committee.
  • Manage the MD/PhD review process in close coordination with the Graduate Training Office Coordinator to ensure timely review of all candidates for the MD/PhD program.
  • Collaborate with the Pathway Scholars Program team to facilitate the application review process for the master's degree program.
  • Evaluate and recommend operational changes to work unit to ensure effectiveness and compliance with University policies and regulations.
  • Compile, analyze, and interpret application data to aid leadership in decision-making and provide the
    Admissions Committee with detailed information to assist in their assessment of potential candidates.
  • Ensure accuracy of data and reporting within our application and customer relationship management (CRM) systems; troubleshoot any issues or inconsistencies that arise.
  • Develop, conduct, and analyze surveys of participant feedback; use this data to implement changes intended to make processes more efficient.
  • Prepare recurring or ad hoc reports on application activity and history.
  • Establish and maintain data collection and tracking systems, leveraging analytics to make recommendations to Manager, Admissions Operations.
  • Organize archival records.
  • Serve as the primary contact for the AAMC and our application system vendor to facilitate program objectives with the application system.
  • Function as the primary liaison to our CRM vendor; help develop the tool in coordination with other departments within the College also utilizing the application.
  • Represent the Office of Admissions and Recruitment regarding our use of and feedback on the application and CRM systems with their client support teams.
  • Develop a strong understanding of the requirements students need to complete to be successful applicants to the college.
  • Provide pre- and post-application advising to prospective students and families.
  • Assist with responding to phone calls and emails directed to the Office of Admissions and Recruitment.
  • Manage business operations.
  • Support Manager, Admissions Operations with tracking of assigned projects and research new initiatives in support of program mission.
  • Additional duties as assigned.

Knowledge, Skills, and Abilities:

  • Ability to communicate effectively with different groups/individuals.
  • Ability to breakdown processes to explain to groups and give instructions.
  • Knowledge of CRM functionality and best practices
  • Skill in public speaking and presenting information to large groups.
  • Skill in receiving feedback to adjust guidance and training strategies for the future
Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
  • Minimum of five (5) years of relevant work experience, or equivalent combination of education and work experience.
Preferred Qualifications * Previous experience working in an institution of higher education (knowledge of medical school admissions, specifically, is helpful).

* Proficient technical skills in data management software applications.
