Pay Rate/Range:The budgeted salary range that the University reasonably expects to pay for this position is $28.07 to $30.00/hour. Salary offers are determined based on final candidate qualifications and experience; the budget for the position; and the application of fair, equitable, and consistent pay practices at the University. The full salary range for this position is $28.07 to $48.28/hour.

Brief Summary of Job Duties:

The Academic Development Coordinator works under the general supervision of the Director of Academic Development and plays a key role in supporting the team. The incumbent assists the Academic Integration Analyst with various projects related to the academic integration of UCEAP programs and courses into the University of California campus curricula. Performs various administrative and analytical duties for academic integration and program development. Coordinates academic reviews of UCEAP programs, which includes planning site visits and preparing materials for the review committee. Applies research concepts to the analysis of data for moderately complex projects. Provides consultative services to UCEAP teams and external stakeholders. As a resource for discipline-specific information and analysis, develops an in-depth knowledge of academic programs at UC campuses and UCEAP partner institutions abroad.

Required Qualifications:

  • Bachelor's degree in related area and / or equivalent experience / training.
  • 1-3 years of administrative experience.
  • 1-3 years of work experience in a higher education setting.
  • Strong organizational skills and ability to handle multiple tasks.
  • Excellent communication and interpersonal skills, assertiveness and diplomacy, and critical attention to detail.
  • Able to exercise good judgment and discretion.
  • Ability to work effectively and cooperatively as a team member, and to work well with faculty members and international partners.
  • Proficient in Microsoft Office Suite, including Outlook, Excel, PowerBI, SharePoint, and Teams.
  • Strong analytical and data assessment skills.

Preferred Qualifications:

  • Familiarity with University curriculum, academic standards, and academic policies, including the University of California.
  • Knowledge of humanities curriculum and degree requirements and/or experience advising students in the humanities at the UC or other university.

Special Conditions of Employment:

  • The UCEAP Systemwide Office is located in Goleta, CA (near the UCSB campus). Type of work arrangement eligibility: Hybrid. On-site presence will be required for leadership and staff meetings, delegation visits, training sessions, etc. The University is unable to pay or reimburse expenses prohibited by University policy, including travel expenses associated with commuting to the designated office. Occasional travel for conferences or UC campus visits/meetings with California.

Job Functions and Percentages of Time:

60% Academic Integration Coordination - With general direction from the Academic Integration Analyst, coordinates Academic Integration (AI) efforts with various external and internal contacts. Serves as Academic Integration resource and institutional memory for UCEAP and campus study abroad offices. Manages a portfolio of assigned disciplines, subject to periodic reallocation. Responsible for analyzing data in PowerBI and Excel to find program and course trends. Conducts surveys in Qualtrics to determine UC academic needs and anticipate future trends. Analyzes UC academic unit degree structures and requirements. Develops and/or gives presentations on AI for conferences and meetings. Supports requests from UC study abroad offices and academic departments about recommended UCEAP programs and coursework for specific disciplines; providing, when needed, syllabi, website information, and catalogs. Works closely with the academic specialists on requests. Provides excellent communication to UCEAP and campus staff. Creates new and revises existing discipline-specific content materials, in collaboration with the Marketing and Communications staff. Proactively coordinates UCEAP tabling event at the annual University of California Academic Advisors Conference (UCAAC). Works closely with the marketing department to develop an outreach plan including surveys, promotional merchandise, new print and digital materials, etc. Leads group of UCEAP colleagues to participate in tabling event. Responsible for event planning, timeline, and communication with the conference committee and UCEAP.

20% Academic Program Review Coordination - Under general supervision of the Director of Academic Development, coordinates the compilation of academic informational documents and internal research and data for UCIE Review Committees. Drafts program overviews, synopses of institutional agreements, and other documents as needed for Review Committees. Provides principal operating interface between UCEAP and UCIE Review Committees; coordinates UCIE Review Committee site visits in consultation with Director of Academic Development, Associate Program Directors, and UCEAP Study Center staff; creates and maintains collaborative working relationships and complex communication processes between all parties; provides full spectrum of administrative support to the Review Committee chairs throughout the review process. Advises on review policy guidelines; reviews, assesses, revises, and advises on academic program review procedures; reviews, evaluates, and revises processes for provision of academic and informational materials to UCIE Review Committees. Takes lead in continually updating and maintaining the completeness of all program review information and records.

10% Unit Administrative Assistance - Performs a variety of administrative and analytical duties in support of program development. Schedules Program Development and Academic Integration (PD/AI) meetings, collects and prepares information for use in PD/AI discussions and meetings, prepares summaries of new programs for campus offices, etc. Coordinates and serves as notetaker at quarterly Campus Faculty Directors meetings and bi-monthly Academic Integration calls.

10% Special Projects - Under the direction of the Director of Academic Development, provide record-keeping, logistical and special project support for the unit. Other duties and special projects as assigned.
