This position serves two main purposes:
Ensuring projects are moving through the project pipeline Leading the initiation phase of projects to collect and articulate key project information to support leadership in making informed decisions. Key roles and responsibilities of the position include: Non-Funded Project Administration: Participate in weekly intake meeting and ensure all inputs are gathered at level of quality for PM to effectively launch project Input endorsed new project requests Ensure accuracy of data for projects yet to be funded by partnering with key stakeholders and consistent audit/quality checks Setup project folder in projects in planning Partner with capital planning as Capital Plan Development lead for design & construction (i.e. TCG Scoping sessions, Maintenance Action Plan, Care Delivery prioritization) Funding Documentation Collect all content and assemble funding approval document presentations Ensure funding documents contain appropriate information to facilitate timely leadership approval Ensure quality controls are followed per scoping funding and full funding quality checklist (to be developed) Facilitate funding coordination meeting Project Oversight Committees Serve as a core team member on multi-disciplinary project oversight committee Build project approval agendas Collect all content and assemble POC deck (Funding Requests/Project Status/Option Selection/etc.) Performs quality check to ensure funding requests (and other content) meets standards for content, accuracy, consistency Facilitate leadership approval on content Shares content with POC Updates capital delivery team on the outcome/decisions of the POC Share/upload meeting minutes and circulate project approvals Reporting & communications Ensure accuracy of project status reports prior to release to key client stakeholders Facilitate monthly stakeholder project status reporting meeting Track/post minutes in POC & RCAC Meeting Agendas/Minutes Maintain funding calendar and team due dates Track and process approval memos to appropriate stakeholders Track and prepare reporting on schedule and funding approval performance Track and report project oversight capital plan performance Project initiation & concept development: Demonstrate ability to facilitate/clarify expectations, define project scope, and draft owner project requirements Document project problem statement/purpose and facilitate alignment signoffs with local & national Stakeholders Identify and draft project's key stakeholders/sponsors/SMEs Conduct site visit(s) to verify existing background drawing(s)/conditions Document key drivers per service delivery plan & demand model Assemble Functional Program and space program if applicable and/or as needed Create feasibility test-to-fit drawing(s) in compliance with relevant codes and templates/programs/tools Generate key assumptions and determine in/out-of-scope elements Partner with estimator and/or project management team to create a Rough Order of Magnitude (ROM) estimate & high-level project schedule Partner with PMs to ensure smooth project transition from planning to scoping Review design drawings/documentation at key milestones to manage project quality and ensure the accurate deliverables Collaborate with PM in generating project risk log and contingency holdings based on probability and impact/cost Document lessons learned & continuously improve Education and experience A bachelor's degree from an accredited institution in Architecture, Interior Architecture, Medical Planning, Capital Planning, Business, Engineering or Construction Management is required. 10+ years of relevant experience related to Medical Planning, Healthcare Architecture, or Capital project management. |
