About the College/Unit/Department
The University of Georgia is establishing a new independent School of Medicine in Athens, building on the success of the Augusta University / University of Georgia Medical Partnership, which has been educating physicians in Athens since 2010.
The establishment of a new public medical school at UGA comes as the state faces a significant shortage of medical professionals. The population of Georgia, the nation's eighth largest state, has surged to approximately 11 million residents, straining existing medical infrastructure and resulting in longer wait times for appointments and reduced access to care. Georgia currently ranks 40th in the nation for the number of active patient care physicians per capita and 41st for the number of public medical students per capita.
As a top 20 public university with a thriving research enterprise and vast public service network, the University of Georgia is well positioned to produce more highly trained physicians, alleviate physician shortages, and improve the state's ability to provide quality health care for its citizens.
The School of Medicine will be located on UGA's Health Sciences Campus in Athens, home to UGA's College of Public Health and the AU/ UGA Medical Partnership. The Medical Partnership currently enrolls 60 students per class, but a $100 million new medical school building, to be funded by a 1:1 public / private match, will enable the UGA School of Medicine to grow to 120 students per class in the future.
The University of Georgia School of Medicine has been formally recognized as an applicant for accreditation after being granted Applicant Status by the Liaison Committee on Medical Education ( LCME), beginning a multi-year accreditation process.

Minimum Qualifications
Requires at least a baccalaureate degree in the field. Please contact your Human Resources office for an evaluation of education/experience in lieu of the required minimum qualifications.
Preferred Qualifications

  • Degree in Business, Finance, Accounting, or a related field.
  • 7+ years of experience in research administration proposal with responsibility for proposal development, including complex budgeting, subawards and post-award grant management, and reporting.
  • Experience with the National Institutes of Health (NIH) grants policy and Uniform Guidance policies and regulations.
  • Experience with a range of submission and management of grants from the Department of Defense, the National Science Foundation, and other agencies.
  • Experience with a range of submission and management of grants from private foundations and industry.

Position Summary
The Senior Grants & Contracts Manager manages large collaborative, consortium, multi-institutional grants and coordinates contracts within the UGA School of Medicine ( SOM). This position supports research investigators in the UGA SOM and works with the UGA Office of Sponsored Projects Administration ( SPA). This position assists principal investigators with strategic budgeting, forecasting, and maintaining compliance with grant and contract policies. This role provides guidance and oversight on issues related to fiscal, administrative, and regulatory management of portfolio(s) of grants, contracts, and sponsored projects from award receipt to close-out. Such grants include sponsors that may be Federal (National Institutes of Health ( NIH), Department of Defense (DoD)), non-Federal government, private foundations and industry. This position also works with other research related partners across the University of Georgia on behalf of UGA SOM Research.

  • Proficiency in Microsoft Office, databases, university and sponsor (federal and non-federal) grant policies.
  • Excellent communication, prioritization, attention to detail, and project management skills.
  • Ability to work under minimal supervision and manage grant submissions/reporting independently.

Oversee and manage administrative pre-award tasks related to grant submissions:

  • Coordinate the administrative aspects of federal, non-federal, as well as private foundations and industry grant proposals.
  • Assist in coordinating the review and execution of contracts.
  • Ensure that grant proposals are submitted in a timely manner.
  • Manage and work with subrecipients/subcontracts to ensure that proposal requirements and timelines are met.
  • Work with UGA SPA with business processes and systems for management of awards in general, including financial reporting tools and templates.
  • Provide policy guidance and assistance with all aspects of proposal development, administrative forms, sponsor-required certifications and representations, and compliance requirements.
  • Serve as institutional authority on behalf of UGA SOM for grant submissions.

Duties/Responsibilities
Oversee and manage financial and operational post-award tasks for awarded grants:

  • Coordinate with principal investigators on reporting requirements to the study sponsor.
  • Work with UGA SPA and UGA SOM Finance on financial tracking of grants for post-award management, including budget reconciliation and forecasting reporting.
  • Review and approve all grant expenditures.
  • Complete timely journal entries as necessary, grant close-outs, etc.
  • Ensure compliance with requirements related to effort reporting.
  • Work with UGA SOM Finance and HR to submit payroll changes for faculty and staff on grants.
  • Develop, implement, and train researchers on policies and procedures in accordance with sponsor and internal policies.
  • Collaborate with funding agencies (federal and non-federal) to resolve problems and/or obtain approval for proposal changes.
