Position Highlights The University of Arizona's division of Arizona Arts is recruiting to fill two Accounting Assistant III positions. We are seeking high-energy applicants with positive attitudes to join the Finance team, which works closely together to provide solutions and support to units across Arizona Arts. As a member of the Finance team, this position is responsible for providing excellent service and timely responses to clients, while also learning and understanding each unit's unique operational requirements.

The incumbent(s) in this role will be responsible for day-to-day reconciliation tasks as well as special projects, ensuring compliance and integrity and working both independently and in conjunction with other staff. The Accounting Assistant follows financial policies and handles problems and routine situations by determining the approach or action to take by interpreting guidelines, procedures, policies, and best practices. This position requires a conscientious individual who will display a high degree of professionalism and who possesses skills in setting priorities while managing a wide variety of duties with minimal supervision. The candidate hired will be one of the faces of the department, as they will be providing customer service and representing the professionalism of the Finance Team.

Duties & Responsibilities

Description

Financial Transactions:

  • Assists in daily Purchasing Card duties; researches and gathers receipts, performs data entry, and reconciles transactions daily across all units;
  • Supports bi-weekly payroll processes, reviewing timecards and payroll reports to ensure employees are paid timely;
  • Completes necessary documentation for expenditures; submits requests for services and purchases on behalf of customers; authorizes payments within prescribed limits;
  • Supports monthly, annual, and project reconciliations in accordance with policies and procedures, as directed;
  • Assists in small and large dollar purchases, places orders in UA Financials system (Disbursement, Vouchers, Requisitions, Interdepartmental Billings, Buyways);
  • May prepare / submit other various financial documents including, Travel Expense reports, General Error Corrections, Salary Expense Transfers, Distribution of Income, Cash Receipts, and Foundation Gift Deposits.

Customer Service:

  • Serves as the primary point of contact to staff for all business transactions by answering questions and providing guidance;
  • Represents the Arizona Arts Finance Team in a pleasant and professional manner;
  • Delivers outstanding customer service in all aspects of the job; provides information and assistance to customers requiring comprehensive knowledge of departmental operations;
  • Drafts correspondence, answers questions or complaints, and makes adjustments within established limits.

Other

  • Keeps informed of University policies and procedures, including updates, to ensure expenditure compliance;
  • Prioritizes workload to meet work unit operations;
  • Participates in meetings and trainings pertinent to the area of responsibility;
  • Evaluates and recommends operational changes to the work unit to increase effectiveness and efficiency;
  • Assists in implementing new policies, procedures, or practices impacted by institution or departmental decisions as communicated by the supervisor at meetings
  • Works independently and exercises professional judgment;
  • Other duties as assigned

Knowledge, Skills & Abilities

  • Knowledge with electronic accounting and budgeting software.
  • Ability to communicate effectively with different groups/individuals.
Minimum Qualifications
  • High school diploma or equivalent, or equivalent learning attained through experience required.
  • Minimum of 5 years relevant experience required.
Preferred Qualifications
  • Bachelor's degree in Accounting or related field of study.
  • Experience with Microsoft Office Suite
  • Experience with UAccess Financials / Analytics
