Position Summary

The Department of Health, Exercise, & Sports Sciences (HESS) is seeking to hire a collaborative, organized, industrious, and independent staff member who is interested in diverse work duties to manage and seek growth opportunities for the Physical Education Non-Professional (PHED) Program and contribute to wider HESS operations. The PHED Program is a high-volume unit that serves 3,000 students a semester through 100+ sections of a variety of physical activity courses, from strength and conditioning to ballroom dance, Pilates, team sports, yoga, and martial arts courses. HESS wishes to hire a candidate that can bring greater organization and efficiency to the PHED program, and also identify growth opportunities and creatively take advantage of them by introducing new courses that attract students. This position will collaborate closely with the Department Chair and Department Administrator in PHED Program management and growth. In addition, this position will provide wider departmental support for HESS operations, including personnel transactions, scheduling, purchasing, addressing facility needs, and more.

Specific details of job duties and responsibilities are:

  • Manages daily administrative operations of the PHED program and assists with the larger HESS department operations, including personnel processes for recruitment and hiring, contract generation and processing, front office coverage, work assignments, and general oversight and support of programmatic needs and activities.
  • Assists with oversight and coordination of the fiscal activity of the PHED program including course fee budgets and expenditures, payroll administration, purchasing, and tracking and reconciliation of program accounts, and may contribute in these areas as regards HESS operations.
  • Coordinates and oversees the use of facilities and related operational needs, tracks and monitors inventory management, and coordinates space assignments for the PHED program and other programs that may require assistance.
  • Assists in and provides input to determining strategic objectives for the PHED program specifically and HESS on the whole. Including potential for growth and the preparation of reports to address program status as well as future development of the program and department.
  • Participates in the formulation of PHED program and HESS policies and operations; ensures the fiscal, operational and personnel practices in compliance with department practice and university regulations.
  • Assists with PHED program and HESS personnel planning, oversees and processes employment and various HR related documents, and provides information on administrative procedures and requirements to instructors of record.
  • Coordinates PHED program and assists with HESS Department seminars, workshops, special projects, and/or events; completes and supports course scheduling processes.
  • Additional duties as assigned to meet HESS Department needs.

Conditions of Employment
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.


Minimum Qualifications

High school diploma or GED; at least 2 years of experience managing at least one of the following functional areas: fiscal services, administration and/or human resources AND 1 year of additional experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.



Preferred Qualifications
  • Strong interpersonal communication skills, conflict resolution skills, and the ability to work effectively with a wide range of stakeholders in a diverse environment.
  • Experience in coordinating a program and working with schedules and a variety of space management needs.
  • Skilled in organizing multiple tasks and prioritizing duties; extremely detail oriented.
  • Ability to work independently; self-starting and motivated.
  • Record and database maintenance skills; ability to gather data and generate reports.
  • Experience with UNMJobs, UNM databases, systems, and processes.
