General Notes

The Department of Pediatrics at the Dell Medical School is looking for a Senior Grants Finance Analyst.

Purpose
To support the Department of Pediatrics by providing grant administration support.

Responsibilities

Grant finances

  • Serve as point of contact for Sponsored Programs Administration (SPA) at Dell Med for pre-award and post-award needs.

Pre-award:

  • Work with research staff to develop, compile, and process proposals through the university to meet sponsor guidelines and timeframes.

  • Assist with review of documents, spreadsheets, and related data for accuracy and compliance with sponsor guidelines and relevant regulations.

Post-award:

  • Participate in kick-off meetings for new grant awards.

  • Gather information for independent contractor or consultant contracts and lead those through completion.

  • Provide monthly grant and start-up expense reports and analysis. Resolve any account deficits.

  • Track Principal Investigator's (PI's) effort across all grants and obtain necessary prior approvals for effort changes.

  • Support re-budgeting and carry forward requests.

  • Oversee departmental financial transaction files to ensure accurate payment processes to contractors and sub-awardees. Follow up on outstanding invoices.

  • Track annual reporting timelines, gather financial and non-technical report components in coordination with PI, and ensure timely submission of reports.

  • Assist PI and SPA in processing any post-award changes such as no-cost extensions or prior approval requests.

  • Forecast project spending for PI as needed.

  • Track PI grants that were awarded in other departments to capture a holistic view of actual PI awards.

  • Conduct monthly review of outstanding purchase orders (encumbrances) to ensure timely payment of vendors and disencumber funds when no longer needed.

Dell Pediatric Research Institute (DPRI):

  • Support monthly DPRI meetings by planning agendas and logistics.

  • Assist with overseeing the maintenance and service contracts for research lab equipment.

  • Oversee DPRI inventory.

  • Other related duties as assigned.

Required Qualifications

Bachelor's degree in accounting, finance, business administration, technical/scientific or other relevant field and five years of experience in research administration or a related field. High level of proficiency in spreadsheet and word processing applications (MS Office Suite). Demonstrated ability for accuracy, attention to detail and ability to follow guidelines. Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Certified research administrator status. Experience managing grant finances. Familiarity with University purchasing policies and best practices Smartsheet, DEFINE, FRMS, UT Research Management Suite (UTRMS) and other software tools.

Salary Range
$60,000+ depending on qualifications
