The Fashion Institute of Technology (FIT), part of the State University of New York and an internationally renowned college of art, design, business and technology with a strong emphasis on liberal arts, invites nominations and applications for an Operations & Budget Planning Manager.

Job Description:

The Operations & Budget Planning Manager (CBA Title: Executive Assistant/Concierge) for the Center for Continuing and Professional Studies (CCPS) reports directly to the CCPS Executive Director, assisting or representing this individual as requested. The responsibilities of the position are performed under the general direction of the Executive Director within three broad mandates, which are:



  • Focus strategically while managing the departments daily administrative operations.
  • Provide direct oversight for accounts payables and receivables, budget management, personnel hiring procedures, academic and department technology infrastructure, and facilities planning for the department.
  • Assume special projects related to increasing innovation, efficiency, and customer service.


The Operations & Budget Planning Manager will manage the Accounts Supervisor. Given the evening and weekend nature of the department, there might be a need during key times of the school year to work evenings (11 am - 7 pm) and/or weekends (Saturday 9 am to 5 pm), but not to exceed a five-day work week.

Responsibilities & Essential Functions:

Financial Management



  • Develop and monitor the operating budget for CCPS and related department functions.
  • Maintain programmatic-level P&L analysis and reporting budgets.
  • Oversee the departments OTPS reporting.
  • Maintain contract and government reporting requirements and financial management tools.
  • Oversee weekly, monthly, and quarterly assessments and forecasts of the department's financial performance against budget, financial, and operational goals.
  • Oversee short and long-term financial and managerial reporting.
  • Oversee the reconciliation of monthly activity, and generate quarterly and year-end reports.


Organizational Effectiveness



  • Manage the departments administrative functions.
  • Increase the effectiveness and efficiency of Support Services through improvements to each function (HR, IT, Budget, Facilities, EHS, Space Mgt.) as well as coordination and communication between functions.
  • Drive organizational initiatives in the management team that contribute to long-term operational excellence.
  • Assist with maintaining personnel listings for full-time and part-time positions.


Facilities



  • Represent CCPS on planning and design committees for major capital projects.
  • Represent CCPS to all three major units of IT for FIT: Information Technology, Instructional Technology, and Software & Information Technology.
  • Project management: For department improvement projects develop a project schedule. and manage project schedules to ensure timely delivery.
  • Interface with Space Planning, Facilities, Buildings and Grounds, and Information Technology to create and implement plans for the renovation and construction of spaces.
  • Under the direction of the Executive Director, develop proposals for the upgrade and renovation of facilities. Gather cost estimates from Facilities and IT for FIT and coordinate with the Budget Office, Purchasing Department, and outside vendors.
  • Manage the OTPS aspects of facilities improvements.


Other Administration



  • Assist with maintaining personnel listings for full-time and part-time positions.
  • Represent CCPS to all three major units of IT for FIT: Information Technology, Instructional Technology, and Software & Information Technology.

Requirements:

Minimum Qualifications:



  • Bachelor's degree required in a Business-related field.
  • 3-5 years of appropriate business experience.
  • Excels at operating in a fast-pace, higher education environment.


Preferred Qualifications:



  • Master's degree preferred.
  • 5-10 years of appropriate business experience.


Knowledge, Skills, & Abilities:



  • Demonstrated skill in managing others.
  • Excellent computer skills and proficiency in Excel, Word, Outlook, and Access.
  • Excellent interpersonal skills and a collaborative management style.
  • Knowledge of government contracts and general management operations.
  • Experience with budget development and bookkeeping.
  • A demonstrated commitment to high professional ethical standards and a diverse workplace.

Salary

Salary: $86,025.55 per year

The UCE-FIT Collective Bargaining Agreement (CBA) dictates the compensation, benefits, and conditions of employment. Hiring Salary: $86,025.55 per year with step increments per Salary Schedule 95, after one year of service and annually thereafter.

Work Schedule

When programs are not in session- M-F, 9am-5pm, in person;

When programs are in session- T-S, 9am-5pm, in person;

Work schedule subject to change based on needs of the department.
