Description The Coordinator of Perioperative Supply will coordinate and oversee daily Supply Chain operations to ensure Supply Chain standard operating procedures for the purchase, receipt, issue, inventory, replenishment, and storage of supplies and equipment within Perioperative areas. Assist the Supervisor in overseeing perioperative supply chain replenishment activities, inventory control, logistics and distribution, and ensuring effectively functioning processes to avoid impacts on patient care. The Coordinator Perioperative Supply is responsible for coordinating staff work schedules and overseeing daily staff work performance in accordance with Supply Chain standard operating procedures. Responsible for implants and tissue tracking and oversees execution and delivery of specialty orders. Responsible for maintaining nodes and managing open orders. Partners with the clinical teams to audit and optimize PAR items to improve supply chain operations and reduce supply expenses.
Qualifications Minimum Education
High School Diploma or GED preferably with two years of vocational/technical in a related field (Required)
Bachelor's Degree (Preferred)

Minimum Work Experience
3 years related and progressive experience in supply chain/distribution operations, including experience leading a team (Required)
3 years related and progressive experience in healthcare supply chain/distribution operations or in perioperative areas and operations. (Preferred)

Functional Accountabilities
Supply Replenishment
  • With the Supervisor, oversee daily operations to ensure Supply Chain standard operating procedures for supply replenishment across hospital-based clinical areas. Proactively adjust Bear Bin nodes, stage, and systems to ensure seamless operations.
  • Coordinate to ensure adequate and accurate supply levels at all times to meet the anticipated demand of perioperative clinical staff and end users. Respond to changes in supply-demand patterns.
  • Oversee and implement all questions, comments, and notifications (QCNs) in accordance with Supply Chain operating procedures. Track the status of all QCNs and ensure QCNs are executed in a timely fashion.
  • Participates in supply conversion processes to ensure the effective and safe introduction of new products and product conversions and a seamless transition throughout the Bear Bin system.
  • Manage and communicates supply disruptions with clinical end users, Supply Chain team, and Department leadership.
Specialty Orders and Supply
  • In collaboration with the Supervisor, manage tissue and implants in accordance with Supply Chain and Perioperative standard operating procedures. Ensure meticulous tracking and accuracy of tissue and implants in accordance with regulations.
  • Oversee execution of specialty orders in a timely fashion to mitigate impacts to patient care. Oversee and coordinate all open orders. Proactively partner and follow up with Supply Chain stakeholders to resolve open orders and backorders.
  • Provide timely and closed loop communication with Perioperative staff and coordinators to ensure proactive communication on all orders, supply substitutes and conversions, and supply disruptions.
  • Participates in the identification, communication and evaluation of substitutes to prevent supply disruptions and impacts to patient care.
  • Collaborates with Perioperative Supply Supervisor to manage vendor relationships, problem-solve backorders, and respond to item changes, conversions, and discontinuations.
Leadership
  • In collaboration with the Supervisor: train, manage staff schedules, develop, and direct assigned staff to meet departmental objectives.
  • In collaboration with the Supervisor, supervise and direct all surgical supply assistants and technicians to ensure products, implants and tissue are readily available in designated storage locations and that replenishment occurs in a timely manner.
  • Lead and assist staff in meeting productivity work standards while demonstrating competency in job skills and knowledge by completing scheduled work in an allotted timeframe. Provide timely coaching and performance feedback.
  • Formulate orientation and ongoing training education for staff; provide education and communication in learning forums to Perioperative Coordinators, clinical and ancillary staff regarding Supply Chain procedures and policies.

  • Support/participate in the Supply Chain Department's performance and management improvement processes.
  • Participates in Value Analysis meetings and initiatives to ensure seamless introductions of new products, conversions and eliminations.
Analytics and Customer Service
  • Daily review of analytics reports and dashboards for open order management, PAR optimization, and edits. Proactively respond to changes in demand.
  • Regularly evaluates and executes changes in PAR quantity, rack changes, elimination and or addition of items, and edits to items. Utilize analytics to optimize PAR levels (reduce, consolidate, eliminate, increase).
  • Collaborates with distribution team to establish, update, and discontinue dedicated demand planning levels to ensure consistent availability of products for the prime distribution program.
  • Inspect and regularly audit supply nodes, stage areas, and Supply Chain operational spaces and rotate dated supplies and materials. Adjust supply areas in alignment with Supply Chain and Infection Control operating procedures.
  • Compiles metrics regarding supply node audits and presents to supply chain leadership team process improvement plans and strategies.
  • Communicate with perioperative clinical teams to optimize supply operations and expenses. Perform audits of all nodes and meet with clinical leaders to share optimization opportunities.
