Genesys Engineering, P.C., a subsidiary of Willdan is seeking a talented individual to fill the role of a Project Controls Specialist. This is an in-office role based out of our Manhattan, NY or Kingston, NY office.

The Project Controls Specialist will be a key member of the Construction Division and will work closely with our offices throughout New York. The major focus of this role will be managing and tracking certain financial aspects of all construction projects. The Project Controls Specialist will report directly to the Vice President of Construction.

Essential Duties and Responsibilities

  • Assist with developing a system and tracking all potential additional revenue streams associated with the Construction Division.
  • Work directly with Senior Leadership and Corporate Accounting to project potential earnings within the Construction Division.
  • Track and document all aspects of change orders:
    • Work with the construction and engineering team to identify potential change orders.
    • Collect, document and compile all back-up documentation from sub-contractors, estimators, sub-consultants and other members to justify and submit the change order.
    • Work closely with the project leadership and client to move the change order submission forward.
  • Maintain active tracking log for change orders. Provides insight/knowledge on backup requirements. Tracks financial responsibility of change event. Update construction project software (internal and client as required).
  • Lead and manage the project documentation process as it relates to change orders. This includes all Excel files related to the change order as well as preparing other supporting documentation.
  • Assist Construction Management in negotiating and documenting extra service work, field authorizations and change orders.
  • Participates in owner and subcontractor change order meetings, including documenting meeting resolutions pertinent to change orders and extra service work,
  • Support the bid and proposal process from sub-contractors.
  • Support the elevation of bids and proposals related to change orders.
  • Meet with subcontractors as needed on financial aspects of change orders.
  • Proper Box setup/Client FTP site. Ensures the team(s) are informed of document control procedures for the project. Intermittently audit project document controls for compliance.
  • Review and understand the contract requirements between Willdan and our clients as well as between Willdan and our subs. Use this information to inform process and decision making.
  • Tie change orders and scheduling to the P&L tracking of the projects.

Job Requirements / Qualifications

  • Bachelor's Degree in Accounting, Business Administration, or equivalent work experience.
  • Minimum of 5 years' experience.
  • Ability to communicate well with all levels of the project team including the client, senior leadership, construction personnel, sub-contractors and sub-consultants.
  • Excellent file management organization, and attention to detail is paramount.
  • Must be proficient or expert in MS Excel and MS Word skills.
    • Minimum MS Excel skills include setting up complex spreadsheets, linking files and information, creating tables and running filters and sorts for managing status and predictive scenarios, conditional formatting, and look-up tables.
    • Minimum MS Word skills include creating and formatting high quality letters, reports, and documents, tracking changes, spelling and grammar check, creating tables, and tables of contents.
