Position Title: Office Services Coordinator

Entity: River Bend Administration, LLC

Reports to: Chief Operating Officer

FLSA Status: Non-Exempt

Location: Naples, FL

Position Summary

River Bend Administration is seeking a skilled, highly motivated, and results focused individual to join the organization as an Office Services Coordinator. The Office Services Coordinator provides front-office presence and office administrative support in a private office environment where visitor and caller activity is generally limited to scheduled meetings, occasional guests, and office vendors. The role helps ensure a professional, organized, and welcoming environment for employees, guests, and vendors. The Office Services Coordinator works closely with and supports the Executive Assistant CEO with general administrative tasks, event coordination, office management responsibilities, and routine operational details that help ensure smooth daily office operations. The position is intended to add front-desk and administrative capacity while complementing existing executive support responsibilities.

Key Responsibilities
    Provide front-office coverage in a private office environment, greeting scheduled visitors, occasional guests, and office vendors and directing them appropriately.
  • Support the Executive Assistant CEO with general administrative tasks, event coordination, meeting preparation, meeting logistics, and office management responsibilities.
  • Order and maintain office supplies, groceries, beverages, snacks, and breakroom inventory; keep the kitchen and common areas stocked, clean, and organized.
  • Process incoming mail, including opening, scanning, saving locally, uploading to the appropriate location, routing or distributing as needed, and filing original paper documents when required.
  • Prepare certified mail and coordinate post office mailing needs as directed.
  • Coordinate express mail services, including FedEx origination, receipt, reconciliation, and invoice review or approval routing.
  • Support copying, faxing, scanning, filing, document organization, and other routine administrative tasks.
  • Coordinate local signature, delivery, and document-handling errands as requested.
  • Coordinate vendor and facilities support and related office maintenance needs.
  • Assist with maintaining and filing annual registrations as directed.
  • Deliver excellent customer service and maintain a professional, positive, and helpful attitude.

Qualifications Required for Success

Work Environment and Physical Demands
