The Credit Admin Assistant is responsible for fulfilling Quality Control, Credit Administration, and Special Assets duties as assigned.

Employee will have extensive contact with customers, vendors, the general public, and bank staff and will interact in a professional and courteous manner and conduct him/herself in such relationships in a manner that will enhance the overall efficiency and image of the bank.

Essential Functions

  • Provide support and assistance as needed to the Chief Credit Officer, Credit Administrator/Manager, and Special Assets Manager, i.e. scheduling, answering phones, event planning, reports, accounts payable tasks, etc.
  • Perform loan quality control reviews:
    • Ensure loan files adhere to regulatory and internal guidelines through timely pre- and post-closing reviews. Verify data accuracy, audit documentation, identify red flags, and report discrepancies to mitigate risk and ensure compliance. Complete reviews in all applicable systems such as nCino, LaserPro and Synergy.
    • Complete loan reviews by auditing the following areas (at minimum) according to policy and procedure:
      • Note review: borrowing structure, loan amount, term, maturity date, payment schedule, interest method, rate/rate structure, prepayment penalty, pre-closing conditions.
      • Collateral review: UCC/lien search, title commitment and insurance, grantors, security agreement, insurance, flood insurance, collateral supporting documentation (e.g. title application), valuation documentation.
      • Document/System/Other review: LaserPro warnings, disbursement, LaserPro to nCino data consistency, change memos, LaserPro document review, HMDA/CRA data, FHLB/BIC data.
      • Credit metrics calculations based on spreads and supporting financial documentation.
      • Covenant language and consistency from credit memo/nCino to LaserPro and loan agreements.
    • Work closely with loan staff to correct data and documentation errors. Provide information and training related to review findings.
  • Accurately and promptly prepare numerous credit, loan and special assets reports and distribute to management, ensuring accuracy and timeliness.
  • Work closely with Commercial Lenders to timely and accurately process business NSF decisions daily.
  • Assist with event planning by securing venues and vendors, meal planning, managing budgets, marketing and promotion tasks, coordinating logistics, event execution and troubleshooting, setup and takedown, etc.
  • Responsible for processing and logging appraisal write-offs.
  • Responsible for following a predetermined schedule of letters to customers with delinquent loan accounts.
  • Backup for developing agendas and scheduling meetings for various credit and committee meetings. When needed, attend committee meetings, take and maintain records of the minutes for Loan Committee, Second Review, and Special Assets Committee.
  • Assist with the tracking and communication of weekly rate updates.
  • Complete system maintenance related to upgrades, downgrades, and annual loan reviews.
  • Assist and respond in a timely manner to audit/examinations by providing reports and/or files.
  • Responsible for maintaining organized and current digital files related to the Credit and Special Assets departments.
  • Purchase products for Commercial/Credit.

Must complete the assigned online training courses and achieve a passing score by due date.
  • Represent Glacier Bank in a professional manner which includes a professional image, confidentiality, a positive "can-do" attitude, flexibility and adaptability in meeting bank and customer needs. Keep work area tidy and maintain customer privacy.
  • Consistently maintains regular and reliable attendance.
  • Additional duties as requested or assigned.

Required Qualifications

  • High degree of attention to detail as well as excellent organizational skill(s) to perform in a fast-paced environment.
  • Must have ability to prioritize and organize heavy workload(s) and demonstrate effective time management skill(s).
  • Must have the ability to work in a professional manner and consistently demonstrate courtesy, customer service, and tact in a fast-paced/deadlines-oriented environment.
  • Ability to work quickly and accurately: perform effectively under pressure; meeting multiple and sometimes competing deadlines and make decisions based on regulation(s), company policy(s), knowledge and experience.
  • Ability to work both independently and in a team environment.
  • Ability to understand and follow complex written and oral instructions.
  • Ability to communicate effectively verbally and in writing.
  • Basic computer skill with working knowledge of word processing, spreadsheets, ten-key, and general computer applications.
  • Working knowledge of standard office equipment.
  • High school diploma or equivalent.

Preferred Qualifications

  • A moderate level of banking and loan knowledge desired.

Work Environment

Must be able to routinely perform work indoors in climate-controlled shared work area with moderate noise level.

Must be capable of occasional travel (less than 10 days per year) by automobile (as driver and passenger), commercial airlines, rental vehicles and public transportation and be able to lodge in public facilities.

Must be able to routinely perform work on computer for an average of 6-8 hours per day, when necessary. Must be able to work extended hours or travel off site whenever required or requested by management. Must be capable of regular, reliable and timely attendance. Must be capable of climbing / descending stairs in an emergency situation.

Specific lifting abilities required by this job include: Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

Specific vision abilities required by this job include: The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection involving small defects, small parts, and/or operation/inspection of machines and/or using measurement devices at distances close to the eyes.

COMPENSATION & BENEFITS: Starting salary is dependent upon relevant experience and may vary based on the geographic location of the position.
