Job Description

Project Planning and Execution (30%)
* Develop, maintain, and administer integrated project plans, schedules, milestones, and deliverables.
* Coordinate planning activities across functional, technical, change management, and deployment workstreams.
* Facilitate planning sessions to identify dependencies, resource requirements, and critical path activities.
* Monitor project progress and ensure deliverables are completed according to approved timelines and scope.
* Maintain project management tools, dashboards, and reporting mechanisms.
* Support phase transitions across Readiness, Plan, Architect & Configure, Test, Deploy, and Sustain phases.

Program Monitoring and Governance (25%)
* Monitor project status, key performance indicators, milestones, and resource utilization.
* Coordinate preparation of governance materials for Executive Committee, Steering Committee, and Advisory Committee meetings.
* Facilitate risk, action, issue, and dependency (RAID) management processes.
* Maintain governance logs and tracking documentation.
* Escalate issues and decision points through appropriate governance channels.
* Support compliance with established program governance standards and decision-making processes.

Cross-Functional Coordination (20%)
* Partner with Workstream Leads to coordinate activities across HR, Finance, Technical, Reporting, Security, Change Management, Training, Testing, and Deployment teams.
* Facilitate recurring project meetings and workstream status reviews.
* Monitor cross-functional dependencies and drive issue resolution.
* Coordinate implementation partner activities with internal project teams.
* Ensure consistent communication across project stakeholders.
* As the ERP project evolves, may provide day-to-day direction, coordination, onboarding, and work prioritization for assigned project staff, temporary resources, consultants, or PMO support roles.

Risk, Issue, and Change Management (10%)
* Maintain project risk and issue registers.
* Facilitate RAID review meetings and mitigation planning activities.
* Track action items and ensure accountability for resolution.
* Support project change control processes and documentation.
* Communicate emerging risks and impacts to program leadership.

Resource Coordination and Staffing Support (10%)
* Support project resource planning and staffing coordination activities.
* Coordinate with Program Directors, Workstream Leads, and functional leaders to identify resource needs, capacity concerns, and staffing dependencies.

* Maintain visibility into project staffing plans, role assignments, and backfill coordination needs.

* Support documentation and reporting related to resource availability, project coverage, and staffing risks.

* Escalate resource constraints or staffing gaps through established PMO and governance channels.

Continuous Improvement and Other Duties (5%)
* Recommend improvements to project management standards, methodologies, and tools.
* Contribute to development of PMO processes and reporting frameworks.
* Document lessons learned and best practices.
* Perform other duties as assigned.

Shift

Monday - Friday 8:00am - 5:00pm.

Minimum Qualifications

Bachelor's degree or equivalent combination of education and experience, and five years of relevant experience.

Preferred Qualifications

* Experience managing ERP, HRIS, Finance, or enterprise technology implementations.
* Experience in higher education, healthcare, or public-sector environments.
* Experience with Workday, Oracle Cloud, PeopleSoft, or similar enterprise systems.
* Project Management Professional (PMP) certification.
* Agile, Scrum, or related project management certification.
* Experience working within a PMO environment.

Anticipated Hiring Range

Salary Range: $90,000 - $130,000 per year

Grade: GGS 012
