Position Summary

The Operations & Business Support Coordinator is a versatile role responsible for supporting daily business operations across inventory management, purchasing, customer support, sales support, data analysis, and administrative functions. This position serves as a key resource for multiple departments, ensuring operational efficiency, accurate data management, timely customer support, and successful execution of special projects. The ideal candidate is highly organized, analytical, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.

Essential Duties and Responsibilities

Inventory & Materials Management

• Monitor and maintain inventory accuracy through regular audits and reconciliations.
• Assist Returns Coordinator with material returns from customers and suppliers as needed
• Identify opportunities to improve inventory control processes.
• Investigate and resolve inventory discrepancies.

Purchasing & Supplier Support

• Create and manage purchase orders.
• Coordinate with suppliers regarding orders, deliveries, and discrepancies.
• Support procurement activities to ensure timely availability of materials and supplies.

Customer Support & Certifications

• Manage customer certification requirements and documentation.
• Coordinate responses to customer requests for certifications, compliance information, and supporting documentation.
• Maintain accurate customer records and ensure documentation remains current.

Sales Support

• Provide administrative support to the sales team.
• Assist with quote preparation, order processing, and customer communications.
• Generate reports and support sales initiatives as needed.

Administrative & Project Support

• Coordinate and support special projects across departments.
• Maintain company records, files, and documentation.
• Assist with process documentation and continuous improvement initiatives.
• Perform general administrative duties to support business operations.

Qualifications

• 3+ years of experience in operations, inventory control, purchasing, customer service, or administrative support.
• Strong proficiency in Microsoft Excel and other Microsoft Office applications.
• Excellent organizational and time management skills.
• Strong analytical and problem-solving abilities.
• Ability to manage multiple priorities with a high degree of accuracy.
• Strong verbal and written communication skills.

Salary: $21-$25 hourly
