Job Summary

The Administrative Assistant provides administrative, secretarial, and clerical support to department leadership and staff. This role is responsible for coordinating daily office operations, maintaining records, preparing correspondence, supporting departmental processes, and delivering exceptional customer service to patients, families, providers, and internal staff. The position requires excellent organizational skills, the ability to manage multiple priorities, and the ability to work independently while meeting established deadlines.

Job Responsibilities




  • Provide administrative, secretarial, and clerical support to department leadership and staff.



  • Support daily department operations and associated call center services.



  • Deliver professional customer service to patients, families, providers, and internal staff.



  • Receive, open, date stamp, and distribute incoming mail in a timely manner.



  • Prepare, transcribe, type, and distribute reports, correspondence, and other departmental documents.



  • Develop written correspondence in accordance with departmental policies and established guidelines.



  • Maintain organized filing systems for correspondence, records, and departmental documentation.



  • Screen telephone calls, mail, and in-person inquiries, responding appropriately or directing requests to the appropriate staff member.



  • Accurately record and distribute telephone messages.



  • Prioritize workload and complete assignments with minimal supervision.



  • Monitor office supply inventory and coordinate replenishment as needed.



  • Assist with timekeeping processes and paycheck distribution.



  • Prepare financial requests and follow up as necessary.



  • Enter, retrieve, and maintain information using departmental software applications.



  • Copy, collate, and distribute documents as requested.



  • Perform routine computer file backups to maintain record integrity.



  • Support departmental initiatives and perform additional duties as assigned.




Job Requirements




  • Previous experience in customer service within a healthcare, hospital, technical, or related environment required.



  • Previous computer experience and/or training required.



  • Ability to communicate professionally and effectively with patients, families, providers, and staff from diverse backgrounds.



  • Strong written and verbal communication skills.



  • Excellent customer service and interpersonal skills.



  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.



  • Ability to work independently while supporting a collaborative team environment.



  • Proficiency with Microsoft Word, Excel, Outlook, and other standard office software applications.



  • Experience using database and information systems preferred.



  • Ability to quickly learn new software applications, concepts, and procedures.



  • PowerPoint and Microsoft Access experience preferred.




Education




  • High school diploma or GED required.
