THE POSITION

The Clerical Assistant 2 position with the Department of Corrections at State Correctional Institution (SCI) at Smithfield offers a chance to become a key part of a dedicated team. DESCRIPTION OF WORK

This role provides essential office support that helps SCI Smithfield operate efficiently. It involves organizing information, assisting staff, and helping maintain smooth communication across departments. As a Clerical Assistant 2, you will perform the following duties:

  • Phone Support: Answer and direct calls and distribute messages
  • Inquiry Response: Review files and respond to basic information requests
  • Mail Handling: Receive, sort, and distribute incoming mail and prepare outgoing mail
  • Document Preparation: Type and review documents and correct errors before distribution
  • Data Entry: Check and enter data relevant to assigned office tasks
  • Scheduling Coordination: Arrange appointments, meetings, and videoconferences
  • Record Management: Maintain filing systems, archives, databases, reports, and spreadsheets
  • Office Operations: Monitor supplies, track reports, and complete general office tasks such as photocopying, scanning, faxing, and organizing emails

Work Schedule and Additional Information:
  • Full-time employment, 37.5 hours per week.
  • Work hours are 8:00 AM to 4:00 PM, Monday-Friday, with a 30-minute lunch.
  • Telework: You will not have the option to telework in this position.
  • Salary: Selected candidates who are new to employment within the Commonwealth of Pennsylvania will begin employment at the starting annual salary of $36,108.00 (before taxes).

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS
Minimum Experience and Training Requirements:

  • Six months as a Clerical Assistant 1 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
  • Graduation from high school; or
  • An equivalent combination of experience and training.

Additional Requirements:
  • Must understand how to efficiently use and navigate a PC.
  • Two (2) years or more of experience with the Microsoft systems (Word/Excel/Outlook, etc.) and other software packages to create and maintain spreadsheets/calendars/documents/rosters etc.
  • Ability to work with various office equipment such as: scanner, printer, fax machine, computer, tablet, telephone, personal communication devices etc.
  • Experience with electronic communication tools/skills, such as video conferencing, and creating meetings in Microsoft Teams or Zoom.
  • Proficient keyboarding skills.
  • Successful completion of basic training in Elizabethtown, PA is required.
  • You must be able to perform essential job functions.
