Position Summary:

The Oncology Department seeks a Program Coordinator to provide administrative support and coordinate and manage professional development and professional practice programs for the department. The Program Coordinator will also work closely with the Office Manager and Executive Leadership Team to support the daily administrative responsibilities and needs across various divisions, including payroll, HR/Talent Acquisition, Education and Training, and Information Systems.



  • Provides basic administrative support functions to CAR T and BMT Programs, as well as broader department support as needed
  • Orders supplies, tracks purchase orders and invoices, and reconciles accounts.
  • Schedules, organizes, and coordinates meetings such as CAR T Workgroup and IEC Steering Committee. Maintains documentation and distributes minutes.
  • Prepares documents, minutes, and presentation materials and distributes to required stakeholders
  • Ensures filing and reporting of certain documentation, including required reporting of adverse events, as directed by CAR T Program Manager
  • Collects and submits CAR T data to CIBMTR and assists with patient tracking and administrative handoffs.
  • Maintains proficiency in operating multiple company patient portals
  • Under the direction of the Program Manager, supports the REMS requirements for each CAR T product, including enrolling and tracking new authorized prescribers and members of the care team in company-specific REMS training programs
  • Supports clinical teams, including running and transmitting reports from clinical systems as needed
  • Assists with audits as requested by manufacturers, internal, and external auditors
  • Reconciliation of charge capture for CAR T patients and BMT patients
  • Responsible for reconciliation and payment of LabCorp and Quest invoices for the Bone Marrow Transplant program
  • Assists in obtaining patient records, document scanning, and preparing consents
  • Answers telephones and distributes messages
  • Participates in training and meetings as required to support the program and achieve competencies defined by institutional and federal guidelines


Shift: Full-time position 40 hours per week. Hours - 7:30 am - 4:00 pm, 8:00 am - 4:30 pm

Required Work Experience:



  • At least 2 years of related experience in health care administration, office management, or public relations.
  • Strong oral and written communication skills to interact with diverse groups of people, exchange information, and produce written correspondence.
  • Ability to maintain composure in high-stress situations, handle multiple demands, and demonstrate flexibility in adapting to changing conditions.
  • Advanced MS Office computer skills.


Education:

A minimum of a Bachelor's degree is required. Experience over and above the work experience requirement may be considered in lieu of a Bachelor's degree on a 2:1 basis (8 years).

Salary Range: Minimum 22.33/hour - Maximum 36.86/hour. Compensation will be commensurate with equity and experience for roles of similar scope and responsibility. In cases where the range is displayed as a $0 amount, salary discussions will occur during candidate screening calls, before any subsequent compensation discussion is held between the candidate and any hiring authority.
