The Office of Population Health Sciences' (OPHS) Institute for Healthcare Delivery Design (IHDD) at the University of Illinois at Chicago (UIC) seeks a Business Administrative Associate II (Professional Services & Operations Specialist). This role manages the essential operational infrastructure that enables advisory work, such as project set-up, vendor coordination, purchasing, and invoicing. This role also supports advising services' strategic decision-making by managing financial forecasting and supporting multi-year budgeting.

Duties & Responsibilities:
  • Run Advising Services Operations
  • Lead day-to-day operations for IHDD's Advising Services portfolio.
  • Identify opportunities to streamline operational workflows, improve staff and vendor experience, and support process improvements from design through implementation.
  • Develop, update, and maintain standard operating procedures and training documents for all operational processes supporting advising work.
  • Partner with IHDD's Business Development Coordinator to transition newly sold advising projects from proposal to project team handoff (for example, set up individual project fund accounts, provision specialized software access, executing contracts with supporting vendors, etc.)
  • Oversee purchasing related to advising projects.
  • Manage client invoicing for advising services and track invoice status, payments, and outstanding balances.
  • Support business development and advising-related events as needed, including purchasing, event set up, and related logistics.
  • Forecast Advising Services Revenue and Expenses
  • Determine monthly accrued revenue and expenses for advising services and project financial performance through the end of the fiscal year.
  • Review financial projections with the IHDD Leadership Team and partner with them to implement operational adjustments that promote fiscal stability and reduce potential financial risks.
  • Support IHDD Leadership Team in developing annual five-year budgets, modeling multiple budget scenarios, and ensuring budgets align with both IHDD and University requirements.
  • Manage Advising Service Vendors (Contractors)
  • Set up and onboard new advising services contractors and provide clear, proactive guidance to ensure a frictionless experience.
  • Act as the main operational point of contact for contractors, troubleshooting their administrative and financial issues and ensuring accurate and timely payment.
  • Monitor and update contractor purchase orders to ensure accuracy and continuity.
  • Perform other related duties and participate in special projects as assigned.


Minimum Qualifications Required:

1. Bachelor's degree in business administration, management, or a field related to the position.

2. Five years of experience interfacing with consulting clients and managing a portfolio of 20+ large-scale projects, including direct oversight for client billing, revenue, expenses, and staff resourcing.

3. Experience using portfolio, project, and/or resource management tools (e.g., Runn.io, Kantata, BigTime, or similar platforms).

(NOTE: A Master's Degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) of work experience.)
