GENERAL STATEMENT OF JOB

Under general supervision of a designated supervisor, the Office Assistant performs a variety of routine office support functions requiring some knowledge of school operations. This position may function in the Main Office, Media Center, Clinic, Transportation, Cafeteria, Custodial, and/or Administration offices. Routine functions may include greeting visitors and parents, processing mail, responding to public inquires, processing forms, shelving books, categorizing media center inventory, and/or maintaining various data files and accounts. Incumbents initially work under close supervision until essential knowledge is gained to perform tasks independently.

This position works 8 hours per day 180 days per year. This is not a 12 month position.

Background Screening Requirement:
Florida law requires all school personnel to undergo a Level 2 background screening through the Florida Department of Education's Background Screening Clearinghouse. In accordance with House Bill 531, employment is contingent upon an applicant's eligibility for clearance and the successful completion of all required background screenings prior to hire.

SPECIFIC DUTIES AND RESPONSIBILITIES

Since every duty associated with this position may not be described herein, employees may be required to perform duties not specifically spelled out but may be considered incidental in the performance of this job.

  • Provides assistance to the public via phone, in person, or by mail, including completing forms, explaining school policies and procedures, researching information, and directing individuals to appropriate resources.
  • Answers phones and emails, responds appropriately to inquiries, needs, and emergencies; routes calls and messages to appropriate staff and other areas of the school as needed.
  • Greets and screens visitors and volunteers in accordance with established school policies to ensure safety procedures are followed for security purposes; maintains visitor log/database and performs background checks when necessary.
  • Directs employees and members of the community to offices and meetings inCharter School Authorityfacilities.
  • Verifies accuracy and completeness of all data/information received and researches and provides verification on information requests from staff.
  • Performs clerical tasks as needed, including preparing, typing, and processing letters, memoranda, reports, and various administrative documentation utilizing word processing and office equipment.
  • Performs some data entry and record keeping in the maintenance of various records, files, and accounts according to the area of placement.
  • Receives, processes, and distributes correspondence and prepares forms, letters, and parcels for distribution.
  • Prepares and distributes various school records, reports, notices, and other relevant documents appropriate to the school,Charter School Authority, or assigned area.
  • Maintains positive and effective working relationships with colleagues, students, parents, community members, and other agencies as applicable.
  • May order school materials and office supplies, ensuring availability for instructional and operational needs.
  • May compile or assist in the compilation of school data, various reports, records, or budget preparation.
  • May prepare and/or verify purchase orders.
  • May provide coverage for teachers, assist with testing, or monitor students in the cafeteria, hallways, or pick-up and drop off areas.
  • Demonstrates an understanding of the needs and interests of students and parents with varying inquiries.
  • Maintains a high level of ethical behavior and confidentiality regarding student information.
  • Complies with federal, state,Charter School Authority, and department laws, policies, procedures, and regulations.
  • Performs other duties as required.

MINIMUM QUALIFICATIONS

Alternatives to the minimum qualifications can be made by the Board as they find appropriate and acceptable.
Education:

  • High school diploma or GED required.
Experience:
  • Six (6) months of related work experience.
Licenses and Certifications:
  • None.

ADDITIONAL MINIMUM QUALIFICATIONS REQUIRED: KNOWLEDGE, SKILLS, AND ABILITIES

  • Demonstrates knowledge and understanding of the needs and interests of students and parents with varying inquiries.
  • Knowledge of and ability to handle a high volume of communications in a short amount of time.
  • Fluency and skilled in oral and written communication in both English and Spanish preferred.
  • Skilled in industry-standard computer applications.
  • Ability to work with diverse groups.
  • Ability to perform duties with consistent courtesy and tact in the best interest of the public.
  • Skilled in both written and oral communications for effective expression and clarity.
  • Ability to establish and maintain effective working relationships with the Principal, support staff, students, parents, and other personnel.
  • Ability to exercise sound judgment and make decisions in accordance with established departmental policies and procedures.
  • General knowledge of modern office practices and procedures.
  • General knowledge of and ability to utilize a variety of office equipment, i.e., computers, facsimile machines, copiers and scanners.
  • Ability to issue and follow oral and written instructions.
