Work hours: Approximately 12 hours a week, M-F between 8:00 AM and 4:30 PM

About the Job

This is an administrative support position, working with Extension Finance & Planning as a voucher specialist. In this role, the voucher specialist processes non-payroll expenses, reviews and enters voucher payments into PeopleSoft that initiates payment to internal or external suppliers, and reconciles payment against the voucher.

Location and Work Environment

This position is remote; the employee must work from a location in Minnesota.

Work Schedule

Approximately 12 hours a week, Monday - Friday, between 8:00 AM and 4:30 PM

No weekends, no travel

Primary Responsibilities

This is a vital administrative support position, working closely with Extension Finance to process documentation and create vouchers for payment of external suppliers of merchandise or services.

  • Receive and review supplier invoices and credit memos, ensuring receipts are entered accurately and all related support documentation is provided.
  • Enter voucher payments from Perceptive Content into PeopleSoft to create a voucher.
  • Initiate, update, and change supplier/vendor records in the financial system.
  • Understand, interpret, and apply University Accounts Payable policies to complex scenarios.
  • Resolve invoice discrepancies, monitor exceptions, and liaise between Extension employees and vendors.
  • Reconciles invoices and assists with year-end closeout.
Qualifications

Required Qualifications
  • Six years of office/administrative Extension experience, including at least three years as a voucher specialist.
  • Experience as a voucher specialist for University of Minnesota Extension
  • Highly accurate in entering financial data and verifying information
  • Proficient with UMN's PeopleSoft financial system and related electronic tools
  • Understands the University of Minnesota accounts payable and purchasing policies and processes
  • Excellent verbal and written communication skills
  • Familiar with document merging and filing
  • This position is not eligible for an employment-sponsored visa

Pay and Benefits

Pay Range: $30 - 37/hr; depending on education/qualifications/experience.
