Job Summary:

Plans, organizes, leads, and controls the project efficiently and effectively. Possesses in-depth knowledge of project management principles and practices. Typically works on more than one project of high complexity and scope. Plans, executes, and finalizes projects according to strict deadlines and within budget. Acquires resources and coordinates the efforts of team members and external clients to deliver projects according to plan. Manages and defines the project's objectives and oversees quality control throughout the completion of the project(s) life cycle. Within the Project Management Quality & Support (PMQS) team, this role leads cross-organizational initiatives that strengthen project management standards, performance monitoring, quality assurance, and continuous improvement-using practical analytics, responsible AI, and automation to reduce administrative burden and improve consistency. Creates work plans based on goals and targets and implement evidence-based interventions in a one or more multi-functional areas, as well as new technologies and practices, including data-driven tools, dashboards, workflow automation, and AI-enabled process improvement practices. Collaborates with other functional areas to integrate work plans, budgets and multi-functional interventions which are essential for the success and sustainability of the project. Note: Employees assigned to this job description charge their time primarily to a general and administration (G&A) cost center.

Accountabilities:
  • Leads end to end project management-from defining scope and deliverables through planning, budgeting, execution, and closeout-ensuring alignment with organizational strategy.

  • Develops and maintains project management standards, tools, and SOPs.

  • Identifies risks and improvement opportunities and leads cross functional efforts to streamline workflows, reduce complexity, and strengthen performance across teams.

  • Designs and maintains performance monitoring tools and supports quality assurance processes, including dashboards, deliverable reviews, feedback loops, and corrective action tracking.

  • Leads and supports project teams while cultivating partnerships that advance project and organizational goals; ensures clarity of priorities, effective teamwork, high quality implementation, and performs other duties as assigned.

  • Designs and delivers targeted learning support (training, microlearning, peer learning) and maintains knowledge resources (e.g., SharePoint/Teams sites) to drive consistent adoption of standards and tools.

  • Identifies and pilots opportunities for responsible AI and workflow automation (e.g., intake, reminders, document summarization, quality prompts) using approved platforms to streamline project management processes.

  • Facilitates and collaborates on cross-functional process mapping and workflow redesign sessions to identify bottlenecks, reduce complexity, and translate improvements into SOPs, templates, and job aids.

  • Applies appropriate privacy, data protection, and human oversight practices when using AI enabled tools, consistent with organizational policies.

Applied Knowledge & Skills:
  • Works independently and with other groups in a matrix environment to build stakeholder support and engagement.

  • Comprehensive knowledge of concepts, practices, and procedures with project management, process development and execution.

  • Strong knowledge of project management software and other technologies.

  • Demonstrated project and personnel management skills, with the ability to adapt and resolve problems/issues to bring project to completion.

  • Strong negotiator and problem solver, able to influence, motivate, and collaborate with others.

  • Demonstrated ability to translate project performance data into clear insights and recommendations for non-technical audiences, including the use of AI to streamline efforts.

  • Experience with data visualization and reporting tools (e.g., Power BI, Tableau, or similar) and comfort working with data quality, validation, and basic governance practices.

  • Familiarity with workflow automation tools (e.g., Power Automate or similar) and collaboration platforms (SharePoint/Teams) to build lightweight, practical solutions.

  • Working knowledge of process mapping and workflow design approaches (e.g., Visio, Miro, Lucidchart or similar).

  • Practical AI literacy, including awareness of responsible use, privacy, and the need for human judgment in QA and decision support.

  • Excellent oral and written communication skills.

  • Must be able to read, write and speak fluent English; proficiency in additional languages is desirable.

Problem Solving & Impact:
  • Decisions and actions have serious implications with delays in project schedules and may affect overall business activities. Problems are complex and require analysis of situations and data with evaluation of various factors. Exercises judgment within broadly defined practices and policies to select methods and techniques to obtain results.

Supervision Given/Received:
  • Manages staff and external project members to achieve goals and vision of project from initiation to completion. Coordinates project plans, budgets, training, and resources with management to achieve strategic goals. Typically reports to a Director.

Education:
  • Bachelor's Degree or its International Equivalent in Business, Knowledge/Information systems, Communications, Education, Environment, Health, Behavioral, Life/Social Sciences International Development, Human Development, Data/Analytics, or Related Field.

  • Master's degree or its international equivalent preferred. Project Management (PM) Certification preferred.

Experience:
  • Typically requires 10+ years of relevant experience (including 3+ years of line management experience) with projects management principles and practices.

  • Experience in multi-functional/matrix management and implementation.

  • Experience in monitoring and evaluation as well as strategic planning, capacity building and team management, including experience strengthening quality and performance in project delivery (e.g., developing standards/tools, monitoring metrics, coordinating reviews, and implementing process improvements), and using analytics/reporting to support planning, issues/risk management, and decision-making.

  • Prior work experience in a non-governmental organization (NGO) preferred.

Typical Physical Demands:
  • Typical office environment. Ability to spend long hours looking at computer screen and doing repetitive work on a keyboard. Ability to sit and stand for extended periods of time. Ability to lift/move up to 5 lbs.

Technology to be Used:
  • Personal Computer/Laptop, Microsoft applications (i.e., Office 365, SharePoint, Teams, CoPilot), cell phone/mobile technology, and standard office equipment; plus, project management software and reporting/visualization tools (e.g., Power BI or similar), AI tools (CoPilot and similar), and approved workflow automation tools (e.g., Power Automate or similar).

Travel Requirements:
  • Less than 10%

The expected US Based hiring salary range for this role is listed below. Candidates FHI 360 pay ranges represent national averages that vary by geographic location. When determining an offer amount, FHI 360 factors in multiple considerations, including but not limited to: relevant years of experience and education possessed by the applicant, internal equity, business sector, and budget.

Base salary is only one component of our offer. FHI 360 contributes 7% of monthly base pay to a money purchase pension plan account. Additionally, all US based staff working full-time, which is calculated at 40 hours/week, receive 18 days of paid vacation per year, 12 sick days per year, and 11 holidays per year. Paid time off is reduced pro rata for employees working less than a full-time schedule.

US Based Hiring Salary Range: USD 100,000 - 120,000 annually
