Job Summary The Executive Assistant & IR Operations Lead serves as a strategic operational partner to the Investor Relations function, providing high-level administrative support and ensuring the efficient coordination of IR activities. Reporting to the Head of Investor Relations, this role functions as a central coordinator for IR operations, ensuring seamless execution of investor interactions, earnings processes, conferences, and leadership engagement with the investment community. The ideal candidate is highly organized, detail-oriented, proactive, and capable of managing multiple priorities in a fast-paced public company environment. This role requires discretion, strong communication skills, and the ability to anticipate needs while ensuring seamless execution of investor-facing activities. Key responsibilities Strategic Support to Investor Relations Leadership
- Serve as a trusted operational partner to the Head of Investor Relations, managing priorities, timelines, and execution of key IR initiatives and external engagement activities.
- Maintain visibility across IR activities and anticipate operational needs to ensure leadership is prepared for investor meetings, conferences, and internal engagements.
Investor & Analyst Engagement
- Manage investor and analyst engagement logistics, including investor calls, corporate access requests, conference meetings (including the JP Morgan Healthcare Conference), and one-on-one or group investor meetings.
- Serve as a primary logistical point of contact for the investment community and corporate access teams at partner banks.
- Maintain investor engagement trackers and records to support visibility into investor interactions.
Investor Events
- Own operational planning and execution of investor conferences, non-deal roadshows, analyst/investor days, site visits, and investor engagement surrounding major scientific meetings (e.g., ASCO, ESMO, EHA, ASH).
- Manage event logistics including executive schedules, meeting calendars, travel coordination, vendor management, attendee tracking, and preparation of briefing materials.
Earnings & IR Operations
- Manage operational coordination of the quarterly earnings process, including scheduling preparation meetings, earnings call logistics, and internal timelines.
- Ensure coordination across key internal stakeholders including executive leadership, Finance, Legal, and Communications.
Executive Operations & Administrative Support
- Provide high-level executive administrative support to the Head of Investor Relations, including management of complex calendars and prioritization of investor engagement and corporate events.
- Coordinate domestic and international travel logistics for the Head of Investor Relations, including detailed itineraries and conference travel planning.
- Manage expense reporting and administrative documentation including invoices, registrations, memberships, subscriptions, purchase orders, and vendor onboarding.
Operational Process Management
- Maintain systems and trackers supporting IR operations, including investor engagement records and conference planning timelines.
- Identify opportunities to improve operational efficiency and streamline IR processes.
- Support cross-functional coordination for investor engagement and event planning.
Qualifications
- Bachelor's degree preferred.
- 10+ years of executive administrative, operations, or project coordination experience supporting senior leadership in a fast-paced corporate environment.
- Experience supporting Investor Relations, Finance leadership, or executives within a public company environment strongly preferred.
- Demonstrated experience coordinating complex executive schedules, travel logistics, and high-visibility corporate events.
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and calendar management systems.
- Familiarity with the investment community, research analysts, and financial communications environments preferred.
- Exceptional organizational and project management skills with the ability to manage multiple competing priorities and deadlines.
- Ability to coordinate complex logistics involving senior executives, investors, analysts, and external partners.
- Excellent written and verbal communication skills with exceptional attention to detail.
- High level of discretion and professionalism when handling confidential financial and corporate information.
- Strong judgment and ability to anticipate needs, solve problems proactively, and operate independently with minimal supervision.
- Highly proactive and resourceful, with the ability to remain calm and effective in fast-paced or high-pressure environments.
- Collaborative mindset with the ability to coordinate effectively across functions and interact confidently with stakeholders at all levels of the organization.
