UC San Diego is hiring a temporary Research Administrator 2 to support the campus operations for the 2026 School Year.

Duration: This role is anticipated to last 6 months +

Compensation: $35.99-$42.99 per hour depending on experience. Eligible for paid holidays and vacation/sick leave. Medical insurance also available.

Work Schedule: Monday-Friday 8am to 4:30pm

Location: Hybrid - This position will work a hybrid schedule which includes a combination of working both onsite at Campus and Remote.

DESCRIPTION
  • This is a professional position at the intermediate level, fully operational level of the Research Administrator series. The incumbent applies acquired job skills, policies, and procedures to complete substantive assignments / projects / tasks of moderate scope and complexity; exercises judgment within defined guidelines and practices to determine appropriate action.

  • Research Administrator/Fund Manager uses accounting skills to independently prepare and manage research proposals, awards and transactions related to contract and grant management (pre and post award), and maintain contract and grant records in compliance with institutional research sponsor policies.

  • This position requires exceptional customer service skills and the ability to build positive working relationships with both internal and external units that include office colleagues, members of the department, faculty, and central offices. Pre-award support will be required for all funding mechanisms and all sponsors.

  • Assignments may include multiple PIs, department recharge centers, multiple funding sources, multiple institutions, and multiple sites.

  • The Research Administrator manages proposals and awards of diverse scope where analysis of data requires thorough understanding of complex regulations and requirements.

  • Post-award management includes using strong analytical skills for allocation and expense monitoring, understanding of agency-specific requirements, detailed and timely reporting, and advisement to faculty.

Must Haves:
  • Pre and post award experience. Experience working with researchers and faculty in an area of health and medicine - preferably, bench to bedside clinical trials. NIH/CIRM/NASA/NSF sponsor experience preferred.
  • Contract experience. Financial and analytics skills.
  • UC San Diego systems experience preferred (Kuali, Oracle, UCPath, DOPE, Concur, CIPERB, iContracts, and more.
Day to Day Primary Duties:
  • Post award fund management
  • Checking the financial health of accounts
  • Creating financial expense reports for PIs and Sponsors
  • Meeting with and communicating financials of SP funds, due dates, milestones, etc.
  • Review/approval of requisitions and expense reports in concur
  • Pre-Award support
  • Review of sponsor RFA
  • Creating task list for PIs
  • Creating budget
  • Supporting submission
  • Collaborating with PI and study team
  • Contract & Recharge management
  • Creating contracts, customers, and invoicing
QUALIFICATIONS
  • A Knowledge of applicable federal, state, local, sponsor and institutional regulations, policies, and guidelines.

  • Ability to perform moderately complex financial analysis and customized reporting.

  • Maintains current knowledge of compliance regulations in all areas of research administration Pre-Award and Post-Award.

  • Demonstrated knowledge of generally accepted accounting, fiscal and reporting principles.

  • Bachelor's degree in related area and / or equivalent experience / training.

  • Knowledge of common sponsored award mechanisms and skills to gather and analyze resource data from various sources.

  • Working knowledge of or familiarity with other UCSD Core administrative computer systems, such as Kuali, UCPath, Concur, and Oracle Financial preferred

  • Familiarity with all types of award mechanisms, including grants, contracts, subcontracts, cooperative agreements.

Pay Transparency Act

Annual Full Pay Range: $75,147 - $109,453 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $35.99 - $52.42

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
