Panorama's Assisted Living is hiring an Administrative Assistant!

Panorama's Assisted Living is a social model that offers supportive services such as meals, housekeeping and laundry. Light assistance with personal care and medication are available at a higher level of service. We like to think our Assisted Living is life as our residents know it, just a little easier!

The position provides administrative support for Assisted Living, including oversight and management of the housekeeping staff. This position consistently provides excellent customer service to residents and families as well as other Panorama staff.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  1. Provide administrative support for Assisted Living to include ordering office supplies, maintaining office equipment, work orders, material preparation, and mail distribution. Post and distribute notices as directed. Provide various reports as requested.
  2. Gather and prepare data for annual state survey.
  3. Supervise housekeepers, including hiring, training and evaluation of staff. Ensure staff have the required equipment and uniforms. Manage Housekeeping supplies and inventory, conduct audits, solicit resident feedback and maintain SDS information.
  4. Create and update all staff schedules including time off requests and attendance records. Review timecards for incomplete or inaccurate data.
  5. Coordinate staff education classes. Track and record in-service training, ensuring compliance with regulations and policies. Track certifications.
  6. In partnership with the Administrator, update policies and procedures as appropriate.
  7. Assist in the coordination of resident admissions/transfers/discharges to include initiation of contract, transfer forms, transition of vacated apartments and work orders, and complete unit release forms.
  8. Make appointments for resident transportation services. Complete monthly transportation billing.
  9. Create and maintain resident information within scope of position (admission into electronic medical record, registries, face sheets, rosters). Scan documents into electronic medical record.
  10. SARA pendant management. Assemble and distribute emergency bags to AL residents.
  11. Track resident pet vaccination records.
  12. Conduct Assisted Living tours as requested


REQUIREMENTS:

Education/Experience:

  • High School Diploma/GED required
  • One year administrative experience required
  • 6 months medical records experience preferred. Education may substitute for experience
  • Experience in healthcare or assisted living facility preferred
  • Certified Nursing Assistant or Medication Aide preferred


Physical/Mental Requirements:

Work requires high attention and mental demands, including the ability to prioritize and process information with accuracy and clarity. Requires the ability to walk regularly, lift/carry 10 pounds maximum, 1-2 pounds frequently. Hearing and vision compensated to a functional level that is required to meet the essential functions of the job. Requires manual dexterity sufficient to operate a keyboard, photocopier, telephone, and other office equipment as necessary.

Working and Environmental Conditions:

Normal office or administrative working conditions with little or no exposure to undesirable elements.
