Position Summary
Under general supervision, performs administrative functions to support smooth and efficient practice operations. Responsible for coordinating tasks related to patient visits, including scheduling, check-in, and check-out activities. Specific duties may vary by department.
Essential Functions
Perform routine administrative and clerical duties in support of a clinical service or physician practice office.
Schedule patient appointments and maintain accurate appointment records.
Greet and assist patients in a professional and courteous manner.
Answer telephone calls, respond to routine inquiries, and schedule appointments.
File materials in patient folders and print daily appointment schedules.
Process patient billing forms and scan documents into the patient's electronic medical record in EPIC.
Obtain patient medical records and laboratory test results as needed.
Open, sort, and distribute incoming mail and faxes.
Prepare and type forms, records, schedules, and memos as directed.
Collect patient co-payments when required.
Handle, screen, and/or take messages related to prior authorizations, provider questions, prescription refills, and test results.
Serve as an EPIC "Super User" for scheduling, registration, and billing systems (training provided).
Provide assistance and training to staff in EPIC-related processes.
Perform more complex or specialized tasks as needed, such as surgical scheduling or provider schedule management at an advanced competency level.
Compensation
Pay range is dependent on experience, starting at $20.00 per hour, with increases based on the candidate's specific years of relevant experience.

Qualifications

Education

  • High School Diploma or equivalent required

Licenses/Certifications

  • Certified Medical Administrative Assistant (CMAA) preferred

Experience

  • Minimum of 2-3 years of office or administrative experience required, preferably in a healthcare or medical office setting

Knowledge, Skills, and Abilities

  • Proficiency in Microsoft Office Suite and general computer applications

  • Knowledge of standard office operations and administrative procedures, including filing, copying, scanning, printing, and faxing

  • Ability to operate a multi-line phone system, manage non-routine calls, and appropriately resolve routine issues

  • Strong written and verbal communication skills with the ability to communicate effectively with patients, staff, and leadership

  • Ability to read and understand written documents and correspondence, including emails, memos, and letters, and to take accurate and complete messages

  • Strong organizational and time management skills with the ability to manage multiple priorities, follow established protocols, and work efficiently within systems



Position Details

  • Full-time, 40-hour day position

  • Bilingual Spanish required
