DESCRIPTION

Under general supervision, the Pre-award Research Administrator provides comprehensive grant proposal and general pre-award support to Principal Investigators in the Department of Psychiatry, including budget development, proposal guidance, and coordination of newly issued awards with the Awards Management team. The role supports the setup and ongoing administration of awards to ensure alignment with proposed work.

The incumbent serves as the primary liaison to Psychiatry research centers, coordinating proposal activities for center and training grants, multi-site projects, and complex subcontract arrangements. Provides guidance on diverse research administration areas, including the HIV Neurobehavioral Research Program, the Center for Medicinal Cannabis Research, the Center for Behavioral Genetics of Aging, international collaborations, the Psychiatric Genomics Consortium, multi project grants, and awards with complex regulatory requirements. Performs other duties as assigned.

MINIMUM QUALIFICATIONS
  • Seven years of related experience, education/training, OR a Bachelor's degree in related area plus three years of related experience/training.

  • Thorough understanding of research administration guidelines of Federal and non-Federal sponsors supporting research and educational activities, preferably in a university environment.

  • Thorough knowledge of applicable compliance requirements related to use of human or animal subjects in research, financial conflict of interest, biosafety, etc.

  • Ability to manage significant volume of transactions. Demonstrated skill in prioritizing a high-volume workload to ensure priorities and other deadlines are met. Demonstrated ability to work in pressure situations to meet deadlines and accommodate interruptions. Proven ability to maintain flexibility to redirect efforts when priorities change.

  • Ability to perform complex financial analysis and customized reporting.

  • Demonstrated competence in the use of spreadsheet and database software in financial analysis, fiscal management and financial reports.

  • Ability to maintain independent judgment; strong organization and communication skills; and a customer service focus across broad and diverse subject areas. Must be able to maintain confidentiality.

  • Maintains current knowledge of compliance regulations in all areas of research administration.

  • Demonstrated knowledge of generally accepted accounting, fiscal and reporting principles.

  • In-depth knowledge and current demonstrated experience in contract and grant proposal formats, preparation, submission and administration, as well as federal, state and private granting agency regulations.

  • Demonstrated experience in projecting salary, benefit and indirect costs with knowledge of payroll and personnel regulations including impact of salaries, merits, range adjustments and benefit costs.

  • Proven ability to assess and contribute to development of automated systems facilitate pre-award administration.

  • Demonstrated proficiency in creating complex situational analyses for PIs with large multi-institutional research projects to find the best solutions for various scenarios of funding, staffing, and collaborative contacts.

  • Demonstrated experience in serving as liaison with and providing appropriate information to contract and grant fund managers; preparing budget projections of faculty salaries for grant proposals, ensuring that all available sources of research funding for individual faculty salaries are used.

  • In depth working knowledge of federal and non-federal agency requirements and regulations for sponsored research from proposal preparation through close out, including but not limited to Cost Accounting Standards

  • Proven ability to analyze and prepare budgets.

  • Demonstrated understanding of and experience with managing on-going monitoring and updating of salary profiles to reflect the constant changes of funding sources and levels as well as fluctuations in VA salaries and VA eighths.

  • User-level knowledge of UCPath, Kuali, or equivalent programs.
