Specialist, Payroll & HRIS As the successful candidate, you will Be responsible for supporting payroll, HRIS, and benefit operations by guaranteeing accurate payroll processing, ensuring data integrity within the HRIS system, coordinating payroll and benefits reporting, supporting audits, and closely partnering with the accounting and human resources (HR) teams to ensure compliance with organizational policies, applicable regulatory requirements, and ensuring timely resolution resulting in a positive user experience. Key Responsibilities Payroll Administration
- Own the full-cycle payroll processing (weekly, biweekly, multi state) in the United States while backing up for Puerto Rico
- Validate timesheets, deductions, and related payroll data to ensure accurate payroll calculations, resolving any discrepancies
- Ensure accurate time away accruals in the HRIS system and paying out accrued time away for separating employees
- Respond to payroll related inquiries, explaining and resolving concerns regarding payments, deductions or accruals
- Analyze, calculate, and process payroll corrections, plus retroactive pay adjustments, resulting from pay changes, reporting errors or policy updates
- Review payroll reports to confirm data is balanced with timekeeping and department/FBO submission reports to ensure accuracy, identify any out-of-balance conditions needing correction and make them in the system
- Support year-end processes including W2 communications, distribution, and tax filings
- Maintain accurate, complete, and audit ready payroll records in compliance with company policies and applicable laws
- Apply and interpret, federal, state, and local regulations affecting payroll to ensure compliance with legal requirements
Accounting Administration
- Prepare and post general ledger entries for each payroll run
- Assist with the accounting close period processes by preparing payroll accruals, reconciling payroll-related balance sheet accounts, and ensuring accurate financial reporting
- Ensure all payroll disbursements, direct deposits, benefits, and taxes are entered into the accounting system on a timely basis
- Work with the accounting team, on any variances of activity posted to the bank, and entered into the accounting system
- Participate in internal and external payroll audits by gathering, validating, and organizing payroll data, timekeeping records, and supporting documentation
- Research variances, improve data accuracy, and maintain compliance with company policies and regulatory requirements
- Provide information, and resolve inquiries, to payroll provider so they can prepare payroll tax filings and year-end reporting
- Complete payroll tax setup and support payroll system configuration, including validation of tax and earnings settings
HRIS Administration
- Serve as a subject matter expert, ensuring system accuracy, functionality, reliability, and answer user questions
- Lead the entering, maintaining, and auditing of HRIS data; identify and resolve data discrepancies in partnership with the accounting and HR team to ensure accuracy and integrity of system records
- Configure and maintain workflows, business rules, eligibility settings, and system security roles
- Perform routine data audits to ensure data integrity, accuracy, and compliance
- Troubleshoot system issues and coordinate resolutions with internal stakeholders
- Create, maintain, and distribute standard, and ad hoc, HR reports and dashboards
- Ensure accuracy and consistency of data used for payroll processing, benefits administration, and regulatory/compliance reporting (e.g., EEO, ACA, audits)
- Develop and maintain system documentation, job aids, and standard operating procedures
- Identify recurring user issues, recommend process or system improvements, and implement
- Support HRIS (and module) implementations, enhancements, testing, troubleshooting
Benefits & Compliance Administration
- Reconcile benefit elections with vendor invoices, verifying accuracy, entering into system, before processing and submitting payments
- Administer COBRA eligibility, elections, billing, and reconciliations in partnership with COBRA administrator
- Troubleshoot team member questions related to benefit provider access, including mobile applications and websites
- Process benefit enrollments, changes, and terminations through the HRIS System and benefit provider systems
- Ensure compliance with the Affordable Care Act (ACA), including accurate reporting via Forms 1094 C and 1095 C
- Monitor and maintain ACA eligibility tracking, affordability standards, and minimum value requirements for health plans
Other
- Assume additional responsibilities, to support Modern Aviation's evolving business objectives
Minimum Requirements and Preferred Qualifications
- High school diploma or GED
- Minimum of three (3) years of relevant experience processing multi-state payroll
- High proficiency in Excel and HR software (e.g., Workday, ADP, SAP, Oracle), previous experience with Paycom, preferred
- Strong numerical aptitude and attention to detail to ensure accuracy in payroll calculations and data entry
- Advanced analytical and problem-solving skills
- Ability to multitask, meet critical deadlines, prioritize in a fast-paced environment, and exercise independent judgment
- Knowledge of labor and payroll laws and payroll tax regulations
- Strong attention to detail and organizational skills
- Excellent communication and interpersonal skills for effectively interacting with all levels of the organization and explaining complex payroll matters
- Ability to handle sensitive information with confidentiality and professionalism
- A valid driver's license, is required
