Minimum:

  • Bachelor's degree in Business Administration, Supply Chain Management, or a related field; or an equivalent combination of education
  • Three (3) to five (5) years of professional experience in warehouse operations, logistics, or procurement or a bachelor's degree in Business Administration, Supply Chain Management, or a related field with at least one (1) year of experience working in a matrixed organization.
  • Demonstrated experience managing IT or technology-related inventory.
  • Strong organizational, communication, and documentation skills.
  • Proven ability to coordinate operations across multiple teams and prioritize effectively in a fast-paced environment.


Preferred:

  • Experience in higher education or public-sector organizations.
  • Familiarity with IT asset management (ITAM), inventory management, or IT service management (ITSM) platforms used to track hardware, software, and asset lifecycle data (e.g., TeamDynamix, ServiceNow Asset Management, Ivanti, ManageEngine, Asset Panda, or similar systems).
  • Working knowledge of procurement compliance requirements and asset management policies.

Position Overview




Primary Purpose of Position
Position Summary:
The Procurement Manager supports the mission of Information Technology Services ( ITS) by managing the end-to-end lifecycle of IT related inventory from receipt and tagging through distribution, recovery, and offboarding. This position ensures efficient procurement coordination, inventory accuracy, and compliance with university policies governing hardware and software assets. The Procurement Manager plays a critical role in ensuring ITS resources are available, trackable, and aligned with institutional needs.

Key Responsibilities:


  1. Warehouse Operations Management

    • Oversee daily warehouse operations, including receiving, tagging, snoring, and distributing IT hardware, software, and related materials
    • Maintain an organized, secure, and safe warehouse environment that supports efficient retrieval and accurate tracking.
    • Ensure all IT assets are properly labeled, recorded, and compliant with university and state property management guidelines.
    • Monitor workflow for efficiency, safety, and adherence to established procedures.




  2. Procurement Coordination

    • Collaborate with the CIO, DCIO and/or ITS Procurement Office to review and approve IT hardware and software purchases prior to processing.
    • Verify incoming shipments against purchase orders, document discrepancies, and manage return or replacement procedures as needed.
    • Partner with Accounts Payable and Finance, Facilities and Property Management to confirm documentation accuracy and compliance with fiscal policies.
    • Track procurement activities from requisition through fulfillment to ensure visibility and accountability.



  3. Inventory Oversight & Lifecycle Management

    • Maintain comprehensive and current records of ITS-managed inventory within the designated asset tracking system.
    • Develop and enforce procedures for accurate tagging, documentation, and storage of all assets upon receipt.
    • Oversee the distribution process to ensure timely and precise delivery of equipment to departments and end users.
    • Lead the offboarding and asset recovery process for departing employees, ensuring efficient reassignment or surplus handling.
    • Support surplus and disposal workflows in compliance with state and university requirements.



  4. Cross Departmental Collaboration

    • Partner with the Enterprise Endpoint Management (EEM) team to review and approve hardware requests and ensure alignment with device standards.
    • Work closely with Field Services and Desktop Support to coordinate delivery, installation, and pickup of technology assets.
    • Communicate proactively with recipients and departmental leads to confirm deliveries and address issues promptly.
    • Collaborate with Facilities, Risk Management, and Finance to meet safety, compliance, and audit requirements.



  5. 5. Process Strategy & Continuous Improvement

    • Establish and refine ITS receiving strategies for both temporary and long-term inventory storage.
    • Analyze workflow data to identify inefficiencies and recommend process improvements.
    • Implement standardized procedures and documentation for consistent warehouse operations.
    • Produce reports for leadership summarizing inventory trends, disbursement activity, and performance indicators.

Information Technology Services ( ITS) strengthens and supports the university's mission of teaching, research, and scholarly application of knowledge by providing the information technology infrastructure, software, hardware, and support to achieve the university's strategic goals. ITS is comprised of nine departments which work with the university community to provide the information technology support and services required to realize operational excellence, integrate advanced technology, and create efficient and effective technology solutions.
Work Hours 8 am - 5 pm
