Retirement Assistant - HR (Retirement Plan Services)



Compensation: $38,251.20 ($18.39 per hour)- $57,366.40 ($27.58 per hour)

Job Summary


Milwaukee County Human Resources is looking for a motivated self-starter to join our Retirement Plan Services team. The Retirement Assistant is part of a team that provides comprehensive clerical and administrative support to Retirement Plan Services (RPS). Responsibilities include customer service support, data entry, copying, filing, data research, basic retirement calculations, and execution of mass mailings. This role also maintains RPS file room operations and recordkeeping processes. The position serves as a primary point of contact by responding to incoming inquiries via phone, email, fax, mail, and in person, and routing inquiries as appropriate.



Job Responsibilities



  • Respond to incoming inquiries (phone, email, fax, mail, and in person); route escalated inquiries to appropriate staff. Research, update data, and generate required forms as needed.
  • Process retiree transactions, including direct deposit changes, status updates, address changes, and withholding changes in the V3 system for ERS and OBRA members. Review and process employee and retiree information from lists and forms; perform general data entry.
  • Conduct pension eligibility checks using the pension information system, including calculating retirement credits, highest years of salary, military service credit, city/state credit, vesting, and work history. Prepare basic pension benefit estimates and escalate complex cases as needed.
  • Assist with pension system workflow completion, benefit calculations, and responses to employee inquiries. Support mass mailings and assist with preparation for Pension Board and committee meetings. Monitor office supplies and equipment inventory.
  • Scan documents into the pension information system and file originals. Assemble retirement and pre-retirement session packets, retrieve files as requested, and coordinate offsite file storage with the vendor.



Minimum Qualifications



Education:



  • High School Diploma or GED equivalent



Experience:



  • Three (3) years of clerical experience in an office environment, including data entry, filing records, copying, faxing, and answering telephone calls



Knowledge, Skills & Abilities



  • Proficiency in basic computer applications, including Microsoft Word, Microsoft Excel, and Microsoft Outlook
  • Strong internal and external customer service skills
  • Demonstrated high degree professionalism and ability to maintain confidentiality
  • Excellent interpersonal, verbal, and written communication skills
  • Ability to work independently and follow instructions
  • Sound judgment in a variety of situations
  • Ability to establish and maintain cooperative working relationships
  • Strong time management skills: ability to organize, prioritize, and coordinate multiple tasks
  • Ability to prepare clear, concise, and accurate reports and records
  • Strong organizational skills with the ability to manage confidential files



Physical Requirements



  • Primarily sedentary work
  • Ability to lift and carry up to 20 pounds occasionally
  • Walking and standing as required
  • Frequent hand-eye coordination to operate a computer terminal
  • Frequent verbal communication and hearing to effectively interact with employees and the public.



Compensation


Recruitment for this position is generally at the beginning to the middle of the established pay range.
