The Shared Services Center at West Virginia University is currently accepting applications for a remote Payment Support Specialist.

About the Opportunity

Payment Support Specialists in the WVU Shared Service Center (SSC) provide guidance and support to WVU employees and other customers relating to their purchasing and procurement support needs. This person is responsible for assisting WVU central units, such as Procurement and Payment Services and Division of Finance, to maintain consistency and supporting policies and procedures created by these central units.

What You'll Do

  • Provide purchasing support for WVU faculty, staff and students. Assist customers with use of the systems owned by the central unit of Procurement and Payment Services.
  • May act as a delegate when a customer needs to place in a system different types of orders, including keying the order and following up with the customer to determine receipt of goods.
  • Review and approve transactions in the WVU Procurement and Payment Services systems, such as Mountaineer Marketplace and MyExpenses. Must understand and adhere to State and WVU procurement and travel rules and requirements.
  • Handle specialized transactions for customers (example coordination of international vendor payments, stipends and honorariums).
  • Support with purchase orders and reimbursements.
  • Provide guidance in using systems.
  • Resolve problems when customers need support with financial transactions.
  • Complete requests for new vendor setup, discussing appropriateness with requester and facilitating contacting vendor for additional documentation.
  • Provide guidance in using systems.

  • Collaborate with other team members and the manager to maintain up to date procedures for the unit as technology and other work continues to change.
  • Maintain an understanding on use of the knowledgebase and how to obtain answers from it.
  • Maintain an understanding of the Board of Governors rules and other departmental WVU policies.
  • Other administrative duties as assigned, including supporting other activities within the Financial Management area of the SSC.

Pay Grade: 15
Hours: 8:15-4:45pm EST

Qualifications
  • Bachelor's degree in business, secretarial or technical training related to the position
  • A minimum of one (1) year of experience involving:

    • Strong computer experience including Microsoft office
    • Must be able to communicate well and work with a variety of constituencies
    • Must be proficient in Windows-based applications and strong internet skills
  • Any equivalent combination of related education and/or experience will be considered.
  • All qualifications must be met by the time of employment.
