Description

The Administrative Assistant I, provides essential support by managing front desk operations, greeting visitors, answering phone calls, and performing a variety of clerical and administrative duties to support the department. This includes managing schedules, handling communication, organizing documents, and assisting with day-to-day office operations. The role involves data entry, maintaining filing systems, and coordinating meetings, all while ensuring smooth workflow and efficient office management. The Administrative Assistant I plays a key role in supporting the team's needs, ensuring a productive and organized work environment.
Work involves a variety of tasks that require attention to detail, basic analytical skills, and the ability to follow established practices and procedures. Supervision is provided to guide the employee, with a focus on training and development. The position involves working both independently and as part of a team to support staff and achieve goals.

Characteristic Duties and Responsibilities

  • Reception and Customer Service:Performs front desk operations, greets and assists visitors in a professional and courteous manner providing exemplary customer service, answers and directs incoming calls, takes messages, and ensures timely follow-up, and monitors and manages office deliveries and mail distribution.
  • Administrative Support:Provides general administrative support to department by managing all filing and maintaining the filing system. Completes data entry, photocopying, and assists in the preparation of documents, reports, and correspondence as needed. Schedules appointments, meetings, and conference room reservations. Provides administrative support to staff and management, including handling routine inquiries and performing tasks as directed.
  • Maintains Office and Supplies:Ensures the office is kept clean, organized, and functional at all times. Performs inventory of office supplies and requests/orders additional supplies as needed.
  • Ethics and Confidentiality:Practices honesty by demonstrating a consistent and uncompromising adherence to strong moral and ethical principles, values, truthfulness, and accuracy in all actions. Addresses all student and employee behavior in a confidential and respectful manner.
  • Collaborative Teamwork: Establishes, maintains, and enhances positive work relationships with students, staff, faculty, and administrators.
  • Continuous Learning & Professional Development:Maintains informed on emerging technology trends and common user issues in higher education with an emphasis on community Colleges. Actively organizes and/or participates in applicable workgroups, trainings, workshops, seminars, committees and professional associations or conferences to promote continuous learning.
  • Other duties: Performs other related duties within the scope of the position as required for the efficient operation of the division and to support institutional objectives.

Qualifications

Compliance with all state, federal, and accreditation standards/requirement, as well as all MATC policies and procedures.

MINIMUM QUALIFICATIONS

Required Education & Experience: High school diploma or equivalent and a minimum of six (6) months of office experience.
Preferred Education & Experience: High school diploma or equivalent and one (1) year or more of office experience.

Specialty Skills: Proven ability to create and maintain a positive work environment, manage multiple tasks effectively, adapt to change, and demonstrate exceptional attention to detail.

Competencies: Demonstrates innovation, optimizes work processes, ensures accountability, collaborates effectively, communicates clearly, and fosters interpersonal savvy while instilling trust. Supplemental Information

Start: This position supports the Community Education Division with a start date in January 2026.

Hours: This is a part-time, 100% in-person position (19 hours per week) year round. This position will be based out of the Milwaukee Downtown location working approximately four hours a day during normal business hours. Employees will conduct all work hours in the State of Wisconsin, performing work outside the state is strictly prohibited.

Compensation: Hourly pay rates are listed up to the midpoint of the range and placement is determined based on years of experience, internal equity, and a review of the applicant's employment and educational background as listed on the job application.
