Position summary
The Business Services and Operations Associate supports the Business Services and Operations team in delivering a range of core functions, including travel logistics, employee engagement coordination, procurement support, and day-to-day operational and administrative support.
This role plays a key part in supporting Nava's remote employees by supporting improvements to our operational culture and ensuring seamless experiences across our national team. The Business Services and Operations Associate sets high standards for efficiency, follow-through, and service, incorporating feedback from the wider team to help strengthen Nava's culture and mission-driven work. This role must be located in the DC area.

What you'll do
  • Provide support for internal mailing, shipping, and product tracking services, ensuring timely delivery and accurate documentation.
  • Contribute to Nava's financial health through accurate budget tracking, reporting, and timely expense reimbursements.
  • Manage and triage Eden tickets related to setup, travel, expenses, office access, and general employee inquiries, ensuring prompt and effective resolution.
  • Coordinate logistics for internal and external contacts, including travel arrangements and room scheduling for meetings and events.
  • Assist employees with travel coordination, including bookings, reimbursements, and itinerary management.
  • Support employee engagement activities, such as gifting initiatives through Goody and other vendors.
  • Contribute to the onboarding experience by coordinating swag distribution and providing orientation support.
  • Offer logistical assistance for training, onboarding sessions, and virtual events to promote consistency and engagement.
  • Manage and review initial setup budgets to ensure compliance with company policy and spending guidelines.
  • Review, process, and track vendor invoices to ensure timely and accurate payments.
  • Support procurement operations and reconciliation efforts to maintain budget accuracy.
  • Assist with budget tracking for events, programs, and engagement initiatives.
  • Approve home office setup requests and review expense budgets submitted by other teams.
  • Collect and review receipts for the expense tracking system, ensuring compliance and data accuracy.
  • Partner with the billing team to notify them when expense reports are ready for review.
  • Contribute to cross-functional business services projects and process improvement initiatives.
  • Maintain service trackers, vendor contracts, and documentation to support operational continuity.
  • Provide day to day administrative support to the Business Services and Operations team, including scheduling and coordination of internal and external meetings, assist with planning and executing internal events, staff meetings, and company-wide initiatives, ensuring high-quality experiences and seamless logistics.
Required skills
  • Experience planning and executing company and/or team events
  • Highly organized, resourceful, reliable, and detail-oriented
  • Experience with organizational software, specifically GSuite
  • Comfortable learning new systems and processes
  • Ability to work independently and autonomously within a distributed team while soliciting feedback when necessary
  • Ability to think strategically around trade-offs and short term vs. long term benefits
  • Ability to build and form strong relationships with both the internal team and external vendors
  • An adaptive, empathetic, collaborative, curious, creative and positive mindset, who loves to brainstorm and work closely with the team.
  • Excellent written and verbal communication skills
Desired skills
  • Education: Bachelor's degree or equivalent experience desired, but not required
  • Experience working with a collaborative team
  • Ability to plan large scale community outreach/speaker/team events
  • Experience planning and executing industry networking, conferences, speaker panels, and/or recruiting events
  • Experience planning large internal events (50+)
  • Working with distributed teams and managing multiple office locations
  • Experience with Unanet or similar ERP
  • Experience with Jira Confluence Workspace
  • Experience with multiple types of contract pricing
  • Experience in professional services environment
Other requirements
All roles at Nava require the following:
Legal authorization to work in the United States
Ability to meet any other requirements for government contracts for which candidates are hired
