Project Coordinator, CAREScan Mobile Screening Center of Excellence
Under the direction of the Program Director, the Mobile Care Fleet Coordinator manages all logistics, scheduling, and administrative operations supporting the CAREScan Mobile Screening Center of Excellence-a statewide initiative that deploys mobile screening and preventative care and diagnostic imaging across Wisconsin. The Coordinator serves as the central contact for coordinating site schedules among Federally Qualified Health Centers (FQHCs), health systems, community partners, employer partners, clinical research organizations, and academic collaborators. This role ensures seamless day-to-day operations, communication, and data coordination across all CAREScan mobile units and partners.

Primary Functions

  • Coordinate site scheduling and deployment of CAREScan's mobile van, mammography, and CT units across partner locations.
  • Develop and maintain scheduling systems, calendars, and workflows ensuring equitable access and efficient route planning.
  • Serve as primary liaison with FQHCs, health systems, community partners, workforce health sites, academic and other partners for scheduling and logistics.
  • Coordinate pre-deployment logistics (e.g., space setup, power access, equipment readiness, patient flow plans).
  • Coordinate employee and contractor schedules to support mobile units.
  • Track utilization metrics, visit volumes, and operational KPIs for internal reporting.
  • Support onboarding of new partner sites, ensuring compliance with safety, privacy, and operational protocols.
  • Maintain centralized documentation (schedules, contracts, permits, credentials).
  • Provide administrative support for partner meetings, fleet operations, and data entry.
  • Assist with community event logistics, public relations coordination, and educational activities as needed.
  • Foster a collaborative, service-oriented environment and promote continuous process improvement.


Knowledge, Skills, and Abilities

  • Project and operations coordination in healthcare, research, or logistics environments.
  • Proficiency in scheduling tools, CRM or project management systems (e.g., Monday.com, Smartsheet, MS Planner).
  • Excellent interpersonal, communication, and organizational skills.
  • Strong ability to manage competing priorities, multitask, and work independently.
  • Understanding of healthcare delivery systems, FQHC workflows, or community health operations preferred.
  • Valid Wisconsin driver's license and ability to travel to partner sites as needed.




Preferred Schedule:




Full-time role with expectations for coverage during core business hours and flexibility required as necessary to accommodate business needs.



Position Requirements:

Specifications

  • Minimum Required Education: Bachelor's degree
  • Minimum Required Experience: 3 years of experience in project coordination, scheduling, or operations management
  • Preferred Education: Bachelor's or Master's in Public Health, Business Administration, or Healthcare Management
  • Preferred Experience: Demonstrated experience coordinating transportation and logistics activities. Experience with multi-site healthcare or community programs, clinical scheduling, or logistics coordination.
  • Field: Public Health, Health Administration, Project Management, or related discipline
