Introduction

The Office of the County Administrator is seeking qualified applicants to join our team and play a key role in influencing the future of Loudoun County Government. As the highest-level management office of the County, the Office of the County Administrator supports the Board of Supervisors in shaping the County's strategic and policy direction while overseeing the day-to-day operations of departments and agencies.

The successful candidate will be a resourceful, collaborative professional who thrives in a team environment, with strong communication skills, attention to detail with meticulous grammar, editing and writing skills, and the ability to manage multiple priorities with discretion.


Job Summary

As the Assistant Deputy Clerk, this position provides support to the Deputy Clerk to the Board of Supervisors by ensuring the efficient preparation, coordination, and recordkeeping of Board of Supervisors and Planning Commission meetings. Responsibilities also include managing official records, responding to public inquiries, supporting compliance with the Freedom of Information Act (FOIA), and supporting coordination of the Board of Supervisors Advisory Boards, Commissions, and Committees.

Key Responsibilities:

  • Provide clerk support to Board of Supervisors' meetings, public hearings, standing committees, and the Planning Commission, including serving as the recording clerk during meetings.
  • Facilitate County Administration's agenda item review process, including the review and distribution of meeting agendas, items, attachments, and related materials.
  • Coordinate the placement of legal advertisements for public hearings and prepare public hearing posters.
  • Prepare and post Action Reports, Copy Testes, minutes, and other meeting documentation.
  • Assist the Deputy Clerk and FOIA Officer with processing FOIA requests, archiving records in accordance with state and county requirements, coordinating and leading FOIA training sessions for department FOIA Custodians, and maintaining/updating FOIA system software.
  • Assist the Deputy Clerk with processing appointments to the Board of Supervisors Advisory Boards, Commissions, and Committees and maintaining/updating tracking system software.
  • Support budget work sessions and special projects as needed.
  • Communicate Board actions by notifying County staff of items requiring immediate attention and responding to inquiries from citizens, staff, and the media regarding Board actions and documentation.

  • Commitment to customer service, confidentiality, and professionalism.
  • Proficiency in Microsoft Office Suite.

Minimum Qualifications

Bachelor's degree; two (2) years of related work experience; or equivalent combination of education and experience.


Job Contingencies and Special Requirements

Successful candidates will undergo background checks as required.

Attendance at evening meetings is required. The schedules of the Board of Supervisors and the Planning Commission may vary annually. Occasional weekend work may also be required based on meeting schedules.
