| Position Summary: Under the direction of the School Principal, the Attendance Secretary (AS) maintains student attendance records St. Joseph Academy and supports the secretarial staff, providing a warm, welcoming and responsive presence to children, families, staff and visitors. The AS will track, enter and report student attendance, communicating with students, parents and teachers.

 Job Duties:
 
 
 
 
 Extends excellent service to all children and families 
 Assure each family's and employee's right to privacy and confidentiality, at all times 
 Establish appropriate relationships with children, parents/guardians, staff, and the public which ensures a safe environment that protects children/families' rights 
 Track student attendance, including processing absence excuses, administer tardy slips, calling families regarding absences and process prior day attendance 
 Take initiative to create reports or spreadsheets to maintain accurate records 
 Create reports or spreadsheets for Principal and Assistant Principal regarding attendance, tardies and others as assigned 
 Responds to inquiries from students, teachers, and parents regarding attendance rules and absences. 
 Communicate verbally and in writing all pertinent information regarding SJA with members of the team and appropriate departments to ensure response to requests, concerns, or issues 
 Back up Main Office Secretaries by answering phones, transferring calls, filtering calls, greeting and assisting students, staff and visitors, issuing visitor badges as required, etc. 
 Perform other duties as assigned 
 Create and deliver 5-, 10-, 15- absence letters and communicate with local agencies, if necessary 
 Collaborate with Enrollment Coordinator to ensure accurate data. 
 Manage student information system data for students and families 
 Collaborate with school nurse re: absences, leaving early, etc. 
 Manage the dismissal app data and keep it congruent with student information system. 
 
 Qualifications: 
 
 
 
 High School diploma or equivalent required 
 1+ years in a clerical/reception role, including knowledge of office procedures, clerical and reception duties 
 Knowledgeable about Milwaukee Parental Choice Program (MPCP) and Wisconsin Department of Public Instruction (DPI) preferred 
 Bilingual - fluency in Spanish is preferred 
 Proficient user of MS Office software (Word, Excel, PowerPoint, Outlook) 
 Experience with Childcare or School Information Management System preferred (such as ProCare or Sycamore Education) 
 Strong customer service and public relations skills, including proper phone etiquette skills 
 Ability to communicate (verbally and in writing) and effectively interact with children, their family members, colleagues, staff members and the public 
 Ability to work independently, while prioritizing and managing multiple tasks 
 Ability to respond positively to work direction and guidance from others 
 Ability to maintain confidentiality in all aspects of the job 
 Current CPR, First Aid and Certification preferred

 Physical and Mental Requirements:
 
 Must have ability to sit (75%), walk/stand (25%), routinely throughout the shift. Must be able to periodically lift up to 50 lbs. Must have functional senses/manual dexterity for effective communications and use of office equipment. Must have the ability to deal effectively with the stress of managing emergency/critical situations and multiple tasks.
 
 Environmental Conditions:
 
 Performs duties with exposure to infectious or communicable diseases inherent to the care of children, and occasional exposure to loud or unpleasant voices due to unpredictable behavior of the children and seasonal exposure to high humidity, heat and cold due to the internal and external environment.
