Essential Job Duties |
The
ACSS Student Success Coordinator supports the operational and programmatic functions of the Office of Academic and Student Services (
ACSS) at the Wilson College of Textiles by planning and coordinating programs that enhance student engagement, academic success, and college-wide operations. This role serves as the college scheduling officer and plays a key role in coordinating academic logistics, organizing student engagement activities, and managing major events such as commencement. The position directly supervises student assistants, oversees fiscal processes, and supports strategic initiatives through collaboration with college leadership. By ensuring effective communication, planning, and process management across multiple areas, this role contributes to the success of both academic operations and the student experience.
Primary job duties include:
- Serve as the college scheduling officer, collaborating with undergraduate program directors to manage teaching schedules, including distance education courses, and room assignments
- Plan and manage major academic events for the college, including commencement ceremonies and graduate student orientation (e.g., creating programs, coordinating catering and other vendors, creating student awards, and communicating with graduates, staff, and faculty)
- Supervise student assistants, maintaining their schedules, providing training, conducting performance reviews, etc.
- Advise and support Wilson College of Textiles student organizations, including advising the Tompkins Textiles Student Council and serving as the point of contact for all other student organizations
- Collaborate with the Associate Dean of Academic Programs (ADAP) to ensure all ACSS budgets align with Wilson College's strategic plans and goals
- Coordinate various financial and administrative processes for ACSS, including purchasing, PCard reconciliation, travel authorizations, and reimbursements, ensuring compliance with college and university regulations.
- Process distance education compensation for faculty members
- Develop, implement, and update standard operating practices for processes (e.g., purchasing, student assistants, student organizations, graduation)
- Serve as a liaison to faculty and academic leadership, ensuring accurate and timely communication of processes, policies, and student support initiatives
- Assist with the student course request process

Other Responsibilities |
- Assist all ACSS areas with additional event planning (e.g., coordinating catering and vendors)
- Assist the director of career services with career fair logistics, ePack job entry, etc.
- Coordinate with ADAP on projects, as needed
- Plan ACSS staff meetings (e.g., scheduling, taking minutes, creating the agenda, organizing speakers)
- Manage study breaks for students each semester (e.g., ordering food/catering, advertising, staffing)
- Provide assistance to ACSS staff as needed (e.g., travel planning, scheduling volunteer opportunities)
- Serve as a backup for prospective student tours
- Maintain the ACSS break room and storage closet, and ensure supplies are ordered and stocked

Qualifications
Minimum Experience/Education |
Bachelor's degree; or an equivalent combination of training and experience.
All degrees must be received from appropriately accredited institutions.

Other Required Qualifications |
- Strong organizational and time-management skills with the ability to manage multiple projects and deadlines
- Demonstrated experience in planning and coordinating large-scale events
- Ability to effectively supervise, train, and mentor student assistants
- Experience managing budgets, purchases, and fiscal processes in compliance with organizational policies
- Ability to interpret and apply institutional policies and procedures
- Effective written and verbal communication skills, including experience with internal and external stakeholder communications
- Strong interpersonal skills with a demonstrated ability to build relationships across departments and with varied stakeholders
- Proficiency in using Microsoft Office (Excel, Word, Outlook), Google Suite, and willingness to learn additional administrative systems (e.g., human resources, financial, scheduling)
- Experience with basic data reporting or tracking using Excel or similar tools
- Ability to work independently and collaboratively within a team environment

Preferred Qualifications |
- Experience in higher education, particularly in student services, academic operations, or program coordination roles
- Working knowledge of NC State University policies, systems (e.g., Marketplace, MyPack Portal, Astra. etc.).
- Experience managing or advising student assistants or student organizations
