The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

Reporting to the Divisional Administrator, the Administrative Manager is responsible for all aspects of the day-to-day operations within the Division's administrative office including supervision of the administrative/clerical staff and administrative support for Dermatopathologists. Assists the Divisional Administrator in managing the daily operations and administration of the Division. Works closely and collaboratively with faculty, managers and staff across the department to develop an efficient, high-functioning infrastructure to support the Division's research, education, clinical care missions.

Responsibilities

Operations:



  • Oversees and directs the day-to-day activities of the administrative office; resolves operational issues as they arise; monitors and adjusts workflow; assigns work and other special assignments to administrative staff; coordinates and consults with the Divisional Administrator, Director of Laboratory Operations and shift supervisors on a daily basis regarding day and evening shift operations. Coordinates courier routes and revises routes when necessary to ensure early delivery of specimens to the laboratory. Identifies and resolves problems.


Supervision:



  • Directly supervises the administrative/clerical staff; monitors daily workflow, continually adjusts resources to manage peaks in demand; ensures all client inquiries and issues are addressed in a timely, efficient manner and meet service level standards. Processes and submits payroll; maintaining employee vacation/sick/personal records.


Faculty Support:



  • Provides general administrative support to pathologists including but not limited to reappointments, medical license renewals, CV's, mandatory training requirements, Certificates of Qualification with NYSDOH, DEA registrations, and professional memberships and commitments. Works closely with Director of Revenue Cycle to obtain and maintain managed care credentialing of faculty.


Provider Relations:



  • Implements new referring physician accounts; orients physicians and their office staff to divisional policies, procedures, workflows and service level agreements; creates and maintains database and computer system registration including lab management and billing systems; sends supplies (requisitions, bottles and biopsy bags). Serves as first point of contact for customer service and service recovery; addressing special requests and complaints. Together with the Divisional Administrator, IS Administrator and IT vendors, develops and maintains interfaces between referring physician's individual electronic medical record systems and laboratory results reporting system.


Special Projects:



  • Coordinates special projects as assigned.
  • Perform other related duties and responsibilities as assigned/requested.


Minimum Qualifications



  • Bachelor's Degree or the equivalent in education, training and experience plus at least 3 years of directly related experience required.


Preferred Qualifications




  • Prior IDX experience preferred.

  • Ability to work independently and decisively in a fast-paced environment.
  • Prior supervisory experience, excellent communication, computer, interpersonal, and organizational skills.
