Position Summary

Working as part of the Lateral Partner Recruiting team, reporting to the Director of Partner Recruiting in the US, the role holder has responsibility for providing administrative support to all aspects of the Firm's lateral partner recruiting processes (primarily for candidates in Americas with some support to Asia and EMEA).

Candidates for this role should have a strong administrative background including highly developed organizational skills. Legal recruitment experience, or at least experience of working directly in a partnership or professional services environment, is preferred. General IT literacy is an additional important requirement. The role would be well suited to an individual looking to gain experience of and build a career in lateral partner, or wider legal, recruiting.

This is a very busy team with deadlines to meet that requires a calm and approachable attitude as well as the confidence and maturity to deal with people at all levels, both within the Firm and externally (including senior level candidates). It is essential that a professional, helpful and friendly attitude is shown at all times.

Candidates for this role must be able and willing to deal with the considerable administrative workload required as well as demonstrating the necessary initiative and confidence to work under minimal supervision as needed.

This is a global role and the successful candidate will need to be able to demonstrate some flexibility with regard to working and responsiveness outside of core business hours for this reason. Working some hours on weekday evenings and weekends will be necessary at busy times.

Duties and Accountabilities1

  • Support the administration of the lateral partner recruiting process including the coordination of all candidate interviews, preparation and circulation of business case materials, collation of interview feedback and other supporting requirements.

  • Draft documents including business cases, LPQs, EC dossiers, Firm meeting slides etc.

  • Liaise with recruitment agencies on new candidate submissions; ensuring CV and other submissions materials are logged, circulated appropriately for consideration, and dealt with in a timely manner.

  • Ensure the smooth running of all administrative processes for the wider team.

  • Coordinate with Guest Services and Techology to ensure all candidate meetings (and video conferences) are properly organized and run efficiently. Attend all scheduled interviews to ensure relevant partners are present.

  • Responsibility for helping to organize all Lateral Partner and New Partner Review Meetings along with the preparation and circulation of supporting materials; take minutes as required.

  • Coordination of complex international travel itineraries for partner candidates.

  • Assist with the onboarding of new partners.

  • Field queries and provide updates to key stakeholders in the absence of the Partner Recruiting Director.

  • Assist with preparation of agency search agreements and subsequent payment of invoices and other expenses management. Ensure terms are in place for all interviewing candidates.

  • Provide instruction and guidance and supervise the work product of the supporting recruiting team based in the Firm's Operations Centre in Manila.

  • Undertake other work and projects as required (including outside of the immediate Lateral Partner Recruiting function); this includes work and development activities undertaken as part of the employee's agreed Personal Development Plan.

Qualifications

  • At least three (3) years experience of professional services environment, ideally at a law firm.

  • Undergraduate degree required.

  • Knowledge of legal recruitment market practices desirable, exposure to partner recruitment ideal.

  • Excellent communication and interpersonal skills.

  • Strong drafting skills.

  • Outstanding organizational skills and ability to multi-task.

  • Strong experience of diary management and scheduling (frequently across multiple time zones).

  • Attention to detail and accuracy paramount.

  • Availability and willingness to work overtime as if needed.

  • Ability to work under pressure and to meet deadlines.

  • Team orientated with a willingness to roll up sleeves and help out whenever necessary.

  • This role is based in our New York office.

  • This role reports to the Director, Lateral Partner Recruitment.
