Job Description

As a Sales Operations Specialist, you will play a pivotal role in fostering collaboration among the Sales, Customer Service, Operations, and Accounting departments. Your primary focus will be to support the efficiency and effectiveness of the contracting, sales, and collection processes that are integral to our exhibitors' experiences throughout our dynamic event cycles.

In this multifaceted role, you will strive to deliver an exceptional client experience, employing a solutions-oriented mindset while demonstrating meticulous attention to detail. Your efforts will be crucial in ensuring that our exhibitors feel supported and valued at every stage of their engagement with us.

This role is based in our Fort Lauderdale, FL Office

Major Duties and Responsibilities:

  • Provide Salesforce CRM and EXPOCAD support in various aspects of the event cycles including contract management and entry, sales reports, data quality assurance and process documentation.
  • Acts as the liaison between Sales, Operations and Accounting
  • Work closely with Sales users to analyze source system data and identify data anomalies as well as data definition inconsistencies
  • Establishes and enforces best practices and data standardization
  • Support the Sales team onsite at events as needed
  • Identify and deliver the roll out of new process improvements in collaboration with the transformation. Play a key role in user acceptance testing for technology rollouts.
  • Act as a liaison between the Sales and Accounting teams to identify opportunities for improvement within Salesforce.
  • Own the development and maintenance of process documents, flagging operational inefficiencies and suggesting improvements to the Sales, Operations and Accounting
  • Oversees management of the live floor plan throughout the sales cycle and runs daily back-ups
  • Delivers requested Sales reports to key stakeholders and sales teams (i.e. pipeline reporting, outstanding items etc.) in a timely basis.
  • Maintain and update all present and new data for exhibitors and prospects, includingmaintenance of floorplans for multiple shows.
  • Process in Sales Force (CRM) and in Expo cad as necessary exhibit space contracts and all related forms for applicable shows.
  • Assist in the collection and management of signed contracts. Follow up on contract and amendment signatures along with deposits when necessary
  • Assist in collection and reminders of exhibitor certificate of insurance forms.
  • Assist in scanning/saving of contracts and amendments when received by exhibitor and after countersigned by Sales
  • Load and maintain current Sales Force and Expo Cad exhibitor records.
  • Maintain and keep track of ancillary services and add on (tent, docks, etc.) for the contracted exhibitors
  • Maintain various client and internal trackers for internal reporting purposes.
  • Collect client digital and physical collateral as needed, within established deadlines
  • Support file maintenance including booth floor plan changes, adjusting exhibitor agreements
  • Assisting with implementation collection of new exhibitor listing data
  • Prepare and run reports for sales on a by show basis outlining opportunity status and outstanding items
Qualifications

What you bring to the team:

  • Four-year college degree or equivalent work experience.
  • Strong communication, interpersonal, negotiation, and active listening skills.
  • Ability to travel
  • Passionate about a team environment. Willing to jump in and support the team as needed.
  • Must be detail oriented, solutions oriented, and great with numbers.
  • Must be a self-starter, able to effectively communicate with all levels, be resourceful, proactive, assertive, and tenacious, with integrity, confidence, creativity, energy, and professionalism.
  • Must have presence that is capable of instilling confidence with an aim to build long-term relationships with strategic partners.
  • Proficiency using the Microsoft Suite. Exposure to Salesforce and CAD software a plus.
