Overview

Responsible for all aspects of secretarial support for the Donor Recruitment Department. Responsible for assisting Acount Managers in the preparation, implementation, and completion of blood drives. Responsible for communicating with chairpeople and other individuals about blood drives, the need for blood and the local blood program. Performs general office duties as needed.

Supports organizational quality efforts by accepting responsiblities for:

    Reporting any problems relating to the product, process and quality system
  • Participating in the implementation of solutions to problems.


Responsibilities

ESSENTIAL FUNCTIONS

  • Supports Account Managers in all aspects of preparing for upcoming blood drives.
  • Responds to chairperson requests for information and blood drive related materials.
  • Coordinates and produces publicity materials for blood drives.
  • Copies materials an fills packets with recruitment items.
  • Assembles new development packets.
  • Enters new accounts into CBC's database.
  • Coordinates mailings.
  • Orders reminder cards and monitors mailing to ensure timely distribution.
  • Manages Bloodmobile Site Inspection Reports.
  • Opens and distributes mail.
  • Orders supplies and keeps supply area stocked.
  • Organizes office space and keeps area tidy.
  • Oversees operation and maintenance of office equipment, e.g. photocopiers.
  • Faxes/emails information when required.
  • Answers phones.
  • General typing, filing and other office duties.
  • Must be able to confidently communicate and interpret intermediate information in English to all members of the public and CBC staff.

Qualifications

EDUCATION:

High School Diploma, GED or equivalent.

SKILLS AND KNOWLEDGE

Skills

  • Ability to type 3- wpm.
  • Excellent customer service skills and ability to work effectively with a diverse group of customers/clients.
  • Ability to communicate effectively with customers and employees of the organization verbally and in writing.
  • Excellent organizational skills and ability to handle multiple priorities effectively.
  • Ability to solve problems and work independently.
  • Ability to write routine reports and correspondence.
  • Outstanding computer skills

Knowledge

  • Microsoft Office Suite - Word, Excel, Power-Point

EXPERIENCE

Broad-based computer experience preferred.
