Job Summary
MED: Internal Medicine Hemophilia Program The primary responsibility of the incumbent is to provide supportive services to the comprehensive medical team and the patients we serve. As the support member of the HTC, the incumbent is responsible for identifying the social and health needs of the patients and communicating those needs to the appropriate comprehensive team member; have knowledge of available resources or know how/when to refer patients; orient patients and their families to available supportive services; assist with the organization of educational forums; provide all essential non-medial assistance in areas of authorizations, customer service, appointment scheduling, data entry, telephone triage, maintain records, and perform other clerical duties. - Two (2) years of administrative experience required.
- Demonstrated knowledge of medical office procedures, insurance systems, and authorizations. (i.e. medical terminology, appointments, medical records, insurance verification, cashiering, billing, etc.)
- Demonstrated organizational, multitasking, and communication skills.
- Demonstrated knowledge and proficiency in Microsoft Office Suite, Outlook, EMR systems, virtual correspondence, and data entry.
- Demonstrated typing and writing skills with attention to grammar and detail.
- Demonstrated knowledge of ICD-9, CPT, HCPCS coding, HIPAA, and medical record protocols.
- Demonstrated problem-solving ability and discretion in handling sensitive matters.
- Demonstrated ability to work independently and as part of a team.
- Demonstrated filing skills maintaining logs and files of information in alphabetical, chronological and/or numerical order, such that is is current and easily retrievable.
- Knowledge of all pertinent laws, regulations, and guidelines governing medical records; confidentiality, privacy, and provisions to others, including HIPAA.
- In depth knowledge of health care insurance systems, which may include Medi-Cal, Medicare, HMO, PPO, fee-for-service, county funded coverage, and workers compensation, sufficient to properly obtain and track authorizations, appoint patients, make referrals for consults, diagnostics and ancillary services. Coordinate hospital services, complete and submit billing documentation, and explain provisions and requirements to patients.
Preferred Qualifications
- Bachelor's degree and/ or equivalent experience.
- Demonstrated experience and skill working in a clinical setting, with physicians.
- Demonstrated knowledge of Health System and UCD policies and procedures.
- Demonstrated experience and skill using online/other project management tools and apps to track tasks, create project plans and reports.

Department Overview The UC Davis Hemostasis and Thrombosis Center (HTC) is a federally funded, comprehensive care center dedicated to serving individuals with hemophilia and other bleeding disorders. More than just a clinical setting, the HTC is a collaborative environment where medical care, patient education, and community outreach intersect to improve quality of life for a diverse patient population. Department Specific Job Scope This front-office administrative position plays a critical role in supporting both patients and the clinical team. The incumbent is responsible for answering and triaging incoming calls, scheduling medical appointments, managing referrals and insurance authorizations, and accurately entering patient data into the Electronic Medical Record (EMR) and the ATHN registry.
This role requires effective communication skills, attention to detail, organization, and the ability to interact with patients and providers in a professional and compassionate manner. As a key point of contact for the HTC, the incumbent contributes to a patient-centered care experience and actively participates in the Center's broader mission, which includes community engagement and a team-based approach to care.
Incumbents are expected to adhere to the established protocols of the Department of Internal Medicine, practice standards and principals of managed care. This person interacts directly with Hematologists, clinicians, patients, and other university personnel. POSITION INFORMATION
