Job Summary
Sterling Bay is seeking a highly organized and proactive Administrative Assistant to join our team. This role will provide direct administrative support to senior-level executives while also supporting broader departmental needs. The ideal candidate is polished, discreet, adaptable, and capable of managing multiple priorities with ease. This role requires excellent communication skills, a high level of professionalism, and the ability to maintain confidentiality.
Responsibilities
- Manage Outlook calendars, schedule and confirm meetings, answer phones, coordinate communication, and handle all travel logistics
- Plan meetings and events, ensuring all presentation materials are prepared and updated
- Proactively manage a busy, dynamic meeting and travel schedule
- Update Outlook contacts
- Process expense reports
- Provide support on special initiatives and projects as needed
- Assist with proposals, proposal letters, outline specifications, and assemble proposal books
- Draft letters, reports, and other correspondence in a timely and accurate manner
- Collaborate with team on all day-to-day office activities
- Review and proofread documents and presentations
- Maintain polite and professional demeanor with all clients and vendors
- Special projects, as assigned by the team
Qualifications
- Bachelor's degree, associate's degree, or equivalent professional experience
- Minimum of 5 years of administrative support and handling of confidential information
- An energetic professional who can multi-task, work independently, take initiative, exercise judgement, and thrive in a fast-paced, entrepreneurial environment
- Must be detail-oriented with excellent organizational and communication skills, both verbal and written
- Commercial real estate experience is preferred
- Proficiency in Microsoft-based software
Compensation
$80,000 - $110,000 annually, dependent upon experience and skills
