DESCRIPTION

Under direct supervision, the BI Project Coordinator supports the VCHS Business Intelligence team in coordinating technical projects related to Health Sciences-wide business operations. These projects span multiple administrative areas, including Finance, Research, Academic Affairs, Space Planning, Strategy, and general administration.

The incumbent assists with project planning, scheduling, task tracking, and coordination of project activities. Applies basic project management principles to support departmental or cross-functional initiatives. Responsibilities include maintaining project documentation, assisting with progress monitoring, coordinating meetings, and facilitating communication among stakeholders.

The position also supports change management and user training related to business intelligence initiatives. Assists in developing and delivering training materials, job aids, and communications to support adoption of new tools and workflows. Works with cross-functional teams to assess user needs and ensure a smooth transition during system and process changes.

MINIMUM QUALIFICATIONS
  • Four (4) years of related experience, education/training, OR a Bachelor's degree in related area.

  • Requires effective communication and organization skills.

  • Requires basic knowledge of project management principles, theories, and concepts.

  • Requires ability to assess campus, medical center or Office of the President needs for information technology products and design services to meet those needs.

  • Demonstrated attention to detail. Demonstrated ability to determine relevance and prioritize tasks.

  • Experience managing projects and programs in an academic setting.

  • Demonstrated ability to manage highly complex and dynamic scheduling needs, particularly in environments involving senior faculty or leadership. Requires strong organizational skills, precision, and attention to detail to coordinate competing priorities, resolve conflicts, and ensure accurate calendaring across multiple stakeholders and systems.

  • Ability to support user training and readiness activities by creating clear instructional materials and communicating system or process changes in a user-friendly manner.

  • Demonstrated ability to work collaboratively across teams to support change management efforts, including gathering feedback and adjusting communication approaches for diverse stakeholder groups.

  • Ability to learn and apply organizational policies and procedures to ensure training and communication efforts align with broader business process and compliance needs.

PREFERRED QUALIFICATIONS
  • Professional certification.

  • Broad knowledge of technology-related initiatives and an understanding of impact to the organization of such initiatives.

Pay Transparency Act

Annual Full Pay Range: $63,800 - $111,600 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $30.56 - $53.45

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
