Job Summary

The Facilities and Safety Administrative Assistant provides critical administrative support to the Maintenance & Safety Manager, ensuring efficient coordination of safety compliance initiatives and facility operations. This individual contributor role is responsible for maintaining accurate records related to safety training, audits, incident tracking, and compliance documentation. The role also manages inventory tracking for maintenance and janitorial supplies and ensures prompt, organized responses to maintenance requests. Through strong organizational and communication skills, the Facilities Administrative Assistant plays a key role in supporting a safe, compliant, and well-maintained work environment.

Duties and Responsibilities

Establish well organized, digital records which meet or exceed safety, compliance, and health requirements.

Areas include:

* Records for the Southeast Training Center

* OSHA and other safety documentation

* Assisting with safety audits and related record keeping

* DOT standards and inspections

* EPA records

* Maintain documentation for W. C. Bradley Corporate Safety Council

* Facilities and Maintenance Administration

* Forecast maintenance parts and supplies inventory requirements and order replenishment as appropriate

* Maintain appropriate inventory levels for janitorial supplies

* Identify opportunities to secure improved pricing, where appropriate

* Support workflow management and work order processing

* Schedule preventive maintenance and inspections; maintain maintenance and inspection records

General Administrative Support

* Maintain confidentiality

* Set up new vendors as required. Track invoice approvals and enter into AP system.

* Manage meeting room set up requests and event planning details

* Complete the daily mail run to Corporate

* Manage scrap ticket program

* Perform other duties as assigned

Qualification Requirements

Minimum Education:Associate Degree in BA or in a related field or experience in lieu of degree will be considered.

Minimum Work Experience:Four to six years of experience providing administrative support to leaders and to large teams.

Knowledge, Skills and Abilities

* Advanced Microsoft Office (Word, PowerPoint, Excel) applications skills and Microsoft Outlook

* Demonstrated ability to interact with diverse groups

* Ability to apply good judgment and manage multiple skills from various people in a fast-paced environment.

* Demonstrated "customer service" style in interacting with others inside and outside of the organization

* Well organized, detailed oriented with demonstrated problem solving skills

* Demonstrated ability to maintain confidentiality

* Highly collaborative and team oriented

* High degree of self-initiative and demonstrated ability to deliver high quality work and meet defined deadlines.

* Knowledge of W.C. Bradley and Outdoor Brands is a plus

* Ability to maintain regular and predictable attendance

* Ability to work in a constant state of alertness
