Department Summary

The Registrar's Office provides support services to students, faculty, staff and other constituents in the areas of academic advising support programs, course scheduling, enrollment, degree verification, transfer articulation, test credit, athletic certification and maintenance of student academic records, as well as handles state and federal reporting. Position Overview

The Registrar Coordinator is a full-time position responsible for maintaining the operational workflow for transcripts processing. Monitors the workflow and related queues as well as provide support to the team and other areas as it relates to transcript processing. Oversees transfer articulation evaluation, rules, and test credit processing.

Minimum Qualifications

Associate's degree and two years of office administration experience; or any equivalent combination of education, training and experience.

Knowledge, Skills and Abilities



  • Proficiency in MS Office and other related technologies or ability to quickly assimilate.
  • Skill in telephone etiquette and courteous communication with public, verbally and in writing, evaluating facts to trouble shoot issues.
  • Strong customer service skills.
  • Skill in the operation of a variety of office machines including, personal computers, telephones and copiers, filing and recordkeeping, English composition, grammar, spelling and punctuation and basic math.
  • Knowledge of standard office policies and procedures ability to quickly assimilate.

Job Duties:



  • Daily management of ICT (Intelligent Capture of Transcripts) workflow queues, including error reporting and correction, customer service inquiries, and data collection to ensure efficient and timely processing of all incoming transcripts.
  • Review test credit (AP, CLEP, IB, etc.) application to student record and articulation maintenance.
  • Acts as an escalation point for issues and ensures proper procedures and communication protocols are followed.
  • Utilize applications such as TES, Transferology, and uAchieve to maximize articulation rules, education, and application as well as maintain organization tables in EIS.
  • and maintains documentation and provides training and information to staff, as needed, as it relates to ICT workflow and transfer articulation.
  • Oversee quality assurance of transcripts processed, identify issues, troubleshoot, and find solutions to assist the Assistant Registrar in improving methods and systems for transcript processing.
  • Coordinate processing of all incoming transcripts and related documents into and within the UNT imaging system (Perceptive Content).
  • Completes all required training as assigned.
  • Supervise student workers, including recruitment, training, daily tasks management and facilitate customer service best practices.
