Duties and Responsibilities
Position Summary:
Loyola University Chicago School of Law is a student-focused law school inspired by the Jesuit tradition of academic excellence, intellectual openness, and service to others. The Office of Student Services serves a pivotal role in carrying out the university's mission of cura personalis, care for the whole person, in the context of supporting students. Key functions of the Office include academic advising, academic integrity and character and fitness disclosures, exam accommodations, student-centered programming, and student wellbeing. This work is accomplished through close collaboration across the Law School and University, partnering with Law School deans, academic program directors, faculty, and staff, and campus partners.
The Assistant Director for Advising and Academic Success for Non-J.D. Students serves as the Office's primary point of contact for non-J.D. law students. The Assistant Director works closely with the Faculty Director for Non-J.D. Programs and Academic Program Directors to develop, implement, and continually assess a student success and advising model that supports the Law School's non-J.D. students from orientation to graduation, with the goals of maximizing student success, achievement, and retention. As part of the Office of Student Services, the Assistant Director ensures the support model aligns with Law School and University policy, procedures, and best practices, and supports the accommodation process for non-J.D. students. The Assistant Director also works closely with the Office of the Registrar on matters related to tracking student registration, status, course enrollment, records, and data.
All staff in the Law School report to the Associate Dean for Administration. Additionally, this position is accountable to the Law School's Faculty Director for Non-J.D. Programs, Academic Program Directors, and Assistant Dean for Student Services and Weekend J.D.
Primary duties and responsibilities include but are not limited to:
Degree and Enrollment Tracking

  • Under the direction of the Faculty Director for Non-J.D. Programs and in close partnership with the Academic Program Directors and Law Registrar's Office, oversee reporting processes to track student status, progression toward degree completion, and course enrollment as well as overall program and enrollment rates for all non-J.D. students, courses, and programs. This includes:
  • Conducting student data audits to confirm contact information, enrollment status, academic standing, missing grades, and employment information.
  • Managing distribution and response collection of online surveys used to track student progress and inform the Law School's course student, course, and program enrollment planning.
  • Tracking and monitoring course demand and proactively sharing information with the Faculty Director and Academic Program Directors.
  • Coordinating with the Offices of the Registrar and Strategic Initiatives and Accreditation to outline data needs and to ensure data integrity and accuracy.
  • With Faculty Director, Academic Program Directors, and the Law School Registrar, develop and maintain non-J.D. course schedules, update course offerings, and monitor course enrollments.


Student Advising, Success, and Engagement
As part of the Office of Student Services, and together with the Faculty Director and Academic Program Directors:

  • Develop and implement a student success and advising model that supports the Law School's non-J.D. students from orientation to graduation, with the goals of maximizing student success, achievement, and retention.
  • Serve as assigned student services advisor to non-J.D. law students, providing academic advising and curriculum mapping, supporting students through the leave withdrawal and reactivation processes, referring students to resources, and leveraging the University's CURA Network to support students in crisis or with behavioral, academic, personal, equity, Title IX, student conduct, conflict resolution, and other general student concerns.
  • Manage and serve as the main student contact for new and continuing student enrollment during registration, orientation, course enrollment, thesis eligibility and enrollment, and all matriculation phases.
  • In close partnership with the Student Services Office Coordinator, support the accommodation process for non-J.D. students.
  • Develop and implement a student communication plan that promotes proactive and timely communication on topics such as registration status course enrollment, certificate and other curricular options, program duration/expected graduation date, and workload, rigor, and work-life balance to promote student success and retention. Track student contact and address student questions.
  • Continually assess student services work to promote alignment with Law School and University policy, procedures, and best practices.

Student Programming
In collaboration with the Faculty Director for Non-J.D. Programs, Academic Program Directors, and Office of Student Services:

  • Serve as the staff lead for student orientation planning and implementation, including maintaining the orientation website.
  • Assist with preparation and delivery of Education Immersion Weekends, including creating content for sessions and providing administrative and logistical support.
  • Complete other program related projects and duties as assigned.
  • Work collaboratively across the law school and university and is accountable.

Additionally, this position performs other duties as assigned.
Minimum Education and/or Work Experience
Juris Doctorate and two-five years of related experience with an excellent understanding of law curriculum including the administrative aspects of course planning at Loyola
Qualifications
Minimum qualifications:

  • Master's degree and 2 - 3 years of related experience, or equivalent combination.
  • Detailed knowledge of Microsoft Office, database software, email programs and superior internet skills.
  • Strong organization and communication skills.
  • Collaborative and accountable.


Preferred qualifications:

  • Experience working in student services with student information systems.
  • Self-starter with demonstrated strong work ethic.
  • Ability to work independently and collaborate across a complex organization.

Certificates/Credentials/Licenses
Master's degree or equivalent combination of education and related work experience.
Computer Skills
Detailed knowledge of Microsoft Office, database software, email programs and superior internet skills are required. Familiarity with student information systems.
