Summary:

This role provides comprehensive administrative, data management, and program support to ensure efficient operations within the PMO.

Candidates must reside any of these locations: Del Paso, TX; El Centro, CA; Grand Forks, ND; Harlingen, TX; Laredo, TX; McAllen, TX; Spokane, WA; Swanton, VT; Tucson, AZ; Washington, D.C. ,Euless, TX , Aliso Viejo, CA, Indianapolis, IN.

Responsibilities

Essential Job Functions:

  • Facilitate meetings and ad hoc projects to ensure actionable outcomes.
  • Manage meeting agendas, track action items, control meeting flow, and provide timely updates to stakeholders.
  • Prepare and distribute meeting minutes, coordinating follow-up activities.
  • Acquisition Support & Documentation
    • Assist in acquisition program management, tracking procurement timelines, and preparing acquisition documents.
    • Develop Statements of Work (SOW), Statements of Objectives (SOO), and Performance Work Statements (PWS) in accordance with federal regulations.
    • Conduct market research and vendor analysis to support procurement decision-making.
  • Financial & Budget Support
    • Track and report funding allocations, managing financial transactions through SAP and TRIRIGA.
    • Submit Purchase Requisition Requests (PRRs) and collaborate with finance teams to ensure proper budget execution.
    • Provide cost estimation support, reviewing historical pricing and conducting comparative analysis.
  • Data & Mission Support
    • Manage data tracking and reporting, ensuring compliance with government record systems (TRIRIGA or its replacement).
    • Assist in maintaining contract files, purchase logs, inventory tracking, and funding records.
    • Prepare QA/QC reports, update electronic files, and generate documentation for management review.
  • Administrative Support & Coordinatio
    • Serve as first point of contact for PMO leadership, triaging requests and streamlining communications.
    • Coordinate travel arrangements, meeting logistics, expense reporting, and documentation processing.
    • Develop memoranda, policies, procedures, and review incoming documentation for quality assurance.
    • Work closely with Training Coordinators, assisting in scheduling and travel logistics for training sessions.
    • Support cross-training efforts, ensuring new contractor personnel receive proper onboarding.

Qualifications

Necessary Skills and Knowledge:

  • Strong administrative and organizational skills, with experience in program coordination.
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word), SharePoint, SAP, and TRIRIGA.
  • Ability to manage sensitive data, ensuring accuracy and compliance.
  • Excellent communication and stakeholder engagement skills.

Minimum Qualifications:

  • A Bachelor's degree and (minimum) 5 or more years in Administrative and Facilitation support.
  • Experience in acquisition support, financial tracking, and market research analysis.
  • S. Citizenship required.
  • Must participate in a federal background investigation.

Pay and Benefits

The salary range for this position is $80,000 to $110,000 annually.
