Safety & Fleet Manager

We are seeking an experienced and highly organized Safety and Fleet Manager to oversee the daily operations of a fleet of 127 vehicles across four states. This role is responsible for managing vehicle logistics, driver performance, telematics systems (Motive), fuel card programs, and ensuring compliance with DOT, IFTA, and cross-border regulations. This role is responsible for developing, implementing, and maintaining safety programs that ensure a safe working environment, reduce risk, and comply with all OSHA and industry regulations. The ideal candidate will bring a strategic mindset, strong leadership skills, and a passion for operational excellence.

Key Responsibilities:



  • Oversee the scheduling, and maintenance of a fleet of 127 vehicles across multiple states (Utah, Nevada, Idaho, Wyoming).
  • Ensure optimal vehicle utilization, and cost-effective operations.
  • Manage vehicle lifecycle including acquisition proposals, registration, maintenance, and disposal.
  • Develop and enforce safety policies, procedures, and training programs tailored to warehouse and distribution environments.
  • Conduct regular safety audits, inspections, and risk assessments to identify and mitigate hazards at all Codale locations.
  • Ensure compliance with OSHA, DOT, EPA, and other applicable regulations.
  • Manage and optimize the use of Motive (formerly KeepTruckin) telematics for real-time tracking, driver behavior monitoring, and compliance reporting.
  • Analyze telematics data to improve safety, fuel efficiency, and operational performance.
  • Train staff and drivers on telematics tools and ensure consistent usage.
  • Oversee the company's fuel card program, ensuring proper usage, fraud prevention, and cost control.
  • Monitor fuel consumption trends and implement strategies to reduce fuel expenses.
  • Lead safety orientation and ongoing training for all warehouse and logistics personnel.
  • Maintain training records and ensure certifications are up to date, MHE, medical cards, and other certifications relating to Codale Electric.
  • Promote a culture of safety through awareness campaigns, toolbox talks, and employee engagement.
  • Ensure compliance with DOT regulations, IFTA permitting, and cross-border apportioned vehicle requirements.
  • Maintain accurate records and filings for IFTA fuel tax reporting and IRP (International Registration Plan) compliance.
  • Conduct regular audits, inspections, and safety meetings.
  • Investigate incidents and implement corrective actions to prevent recurrence.
  • Provide coaching, performance evaluations, and ongoing training.
  • Foster a culture of safety, accountability, and continuous improvement.
  • Develop and maintain emergency response plans, including fire evacuation, spill response, and first aid.
  • Conduct regular drills and ensure all staff are trained in emergency procedures.
  • Work closely with Leadership and employees to ensure safety is integrated into daily operations.
  • Serve as the point of contact for safety-related matters during audits and inspections.
  • Lead safety committees and participate in cross-functional meetings to drive continuous improvement.
  • Work with fleet leasing companies and comply with lease agreements
  • Strong communication, leadership, and problem-solving skills.
  • Prepare and present reports on fleet/safety performance, costs, and KPIs.
  • Develop and manage the fleet operations budget, including fuel, maintenance, and leasing costs.
  • Investigate accidents, near misses, and safety violations; document findings and implement corrective actions.
  • Coordinate with HR and operations on workers' compensation claims and return-to-work programs.



Qualifications:



  • Bachelor's degree in Logistics, Transportation Management, Business Administration, or related field (or equivalent experience).
  • 5+ years of experience managing fleet and transportation operations, preferably across multiple states.
  • Strong knowledge of DOT regulations, IFTA, IRP, fleet maintenance, and telematics systems (Motive preferred).
  • Experience managing fuel card programs and analyzing fuel usage data.
  • Excellent leadership, communication, and analytical skills.
  • Proficiency in fleet management software, Microsoft Office, and reporting tools.
  • In-depth knowledge of OSHA standards and warehouse safety best practices.



Preferred Certifications:



  • Certified Transportation Professional (CTP)
  • OSHA or DOT Safety Certification
  • OSHA 30-Hour Certification (General Industry)
  • Certified Safety Professional (CSP) or similar credential
  • First Aid/CPR/AED Instructor Certification
