The University of Georgia College of Veterinary Medicine, founded in 1946, is dedicated to training future veterinarians, providing services to animal owners and veterinarians, and conducting investigations to improve the health of animals as well as people. The college benefits pets and their owners, food-producing animals, and wildlife by offering the highest quality hospital and diagnostic laboratory services. Equipped with the most technologically advanced facilities located on a university campus, the college is dedicated to safeguarding public health by studying emerging infectious diseases that affect both animal and human health.

Position Summary
Serves as a resource for PIs, Business Managers, and Grants Coordinators on all aspects of post-award sponsored projects management. Provides direct support to the Administrative Financial Director relating to all accounting processes to include research, report preparation, and collection of data. Provides support to other members of the Business Office team as needed.

  • Good time management skills that allow for flexibility when completing multiple tasks in a given time frame.
  • Basic understanding of accounting systems.

Post-Award Management:

  • Serve as resource for PIs, Business Managers and Grants Coordinators on all aspects of post-award sponsored projects management.
  • Liaison for CVM representing faculty and departmental staff to Sponsored Projects Administration to ensure financial compliance on grant/contract chart strings.
  • Develop and implement new processes and procedures for sponsored project expenditures and cost share including development of routine communications.
  • Monitor end dates of sponsored projects and help with closeout.
  • Oversee College's compliance with terms and conditions, including commitments for effort, cost share, sub-awards and over- the-cap activities.
  • Collaborate with financial staff to ensure that budgets set up in PeopleSoft align with award budgets for both direct and indirect costs. Provide guidance on grant expenditures, reporting, and post-award processes, and assist in resolving post-award accounting issues.
  • Manage and monitor effort commitments on sponsored project awards, including notifying business managers of necessary payroll changes. Coordinate with investigators, business managers, grant coordinators, and Sponsored Projects Administration (SPA) to communicate personnel effort changes.

Fiscal Affairs Coordination:

  • Provide direct support to the Director of Finance relating to all accounting processes to include research, report preparation, and collection of data. This includes processing GL Journals, Budget Journals, position funding changes, and EDRs.
  • Assist CE Director with allocating funding between CE events and distribute revenue sharing to various CVM departments.
  • Create financial reports for Athens and Tifton Diagnostic Laboratories and compile monthly reports for the Directors and Pathology Department Head.
  • Cross-train with other staff under the CVM Business Office as directed to ensure the highest levels of professional service in matters related to the fiscal affairs of the College of Veterinary Medicine.

Post-Award Reporting:

  • Work with Grants Coordinators and departmental staff on annual reports to sponsors, including preparation of personnel effort reports and financial expenditures for carryover requests.
  • Monitor account balances and advise faculty and departmental accountants of potential problems and provide recommendations for corrective actions.
  • Develop and implement self-audit procedures and processes for the College related to sponsored projects expenditures and compliance requirements.
  • Provide feedback and guidance to Grants Coordinators and PIs on future budget planning for sponsored projects.

Collaboration and Training:

  • Attend regular staff meetings, attend university-wide Research Account Discussion Group meetings and OneSource status calls, and perform additional duties as requested.
  • Attend Training and Development classes annually to improve skills and keep abreast of new and changing policies and procedures related to sponsored projects, accounting and payroll/HR.
